The Texas Chapter of the American Society of Landscape Architects (TXASLA) is seeking an experienced and strategic Executive Director to lead the Chapter’s operations, member engagement, conference administration, advocacy coordination, and organizational management efforts across the state of Texas. This remote leadership position serves as the operational backbone of the Chapter and works closely with the Chapter President, Executive Committee, Board leadership, volunteers, consultants, sponsors, and members.
Founded in 1950, TXASLA is one of the largest and most active chapters within ASLA, representing landscape architects and allied professionals throughout Texas. The Chapter advances the profession through advocacy, education, leadership development, public outreach, and an extensive annual conference and events program. TXASLA manages an annual operating budget of approximately $740,000 and supports a broad range of member services, statewide initiatives, advocacy efforts, and professional programming.
Working Relationship
The Executive Director reports to the Texas ASLA Chapter President and works closely with the Executive Committee and volunteer leadership. The position operates as the central coordinating role, ensuring alignment between Board initiatives and operational execution.
Organizational Administration & Operations
Manage daily administrative operations of the Chapter.
Serve as primary point of contact for members, partners, vendors, and the public.
Maintain membership records, organizational correspondence, and association files.
Ensure timely response to inquiries and communications (same day or within one day.)
Maintain organizational databases and shared records systems.
Ensure compliance with ASLA National requirements and Texas non-profit (501C-6) regulations.
Maintain annual calendars and deadlines (awards, elections, reporting, etc).
Ensure data security and backup protocols.
Evaluate and recommend system improvements as needed.
Support virtual meetings through management of the Chapter’s Zoom account.
Board & Governance Support
Coordinate Executive Committee meetings and assist leadership with agenda preparation and supporting materials.
Attend and participate in monthly Executive Committee meetings and select Chapter events.Maintain official records, including meeting minutes (taken by Chapter Secretary) and organizational documentation, including but not limited to bylaws, policies, and elections.
Provide ongoing operational support to officers, section leaders, and committee chairs.
Maintain regular coordination meetings with the Chapter President.
Track and support the updating of the Chapter’s Strategic Plan and facilitate annual meetings to review metrics and update the plan as required.
Assist the Chapter is undertaking a Strategic Plan update every four years.
Ensure leadership transitions are supported with documented processes
Preserve institutional knowledge across board terms.
Financial Management & Budget Coordination
Support development of annual operating and conference budgets in coordination with the Treasurer and Finance Committee.
Provide bookkeeping coordination, including accounts payable, receivable, and payment processing, with the Treasurer, and the Chapter accounting professional (third party).
Serve as liaison to accounting professionals and ensure adherence to accepted accounting practices.
Prepare annual budget and provide to Chapter treasurer and third party accounting firm for review and approval.
Coordinate with auditor and National ASLA as required when it pertains to financial matters in conjunction with accounting professional and Chapter Treasurer.
Track financial activity related to events, sponsorships, and Chapter operations.
Coordinate invoicing, expense tracking, and reimbursements in conjunction with the Chapter Treasurer and accounting professional.
Coordinate online registration and payment platforms.
Coordinate with Chapter Treasurer and Executive Committee on endowments and scholarships and ensure that proper distribution of funds is conducted annually.
Responsible for the issuing of checks for both conference and operating accounts.
Annual Conference & Event Management
Lead administrative coordination of the TX ASLA Annual Conference.
Establish planning schedules and manage milestone deadlines.
Coordinate with venues, service providers, and contractors, including RFP development and contract review support.
Oversee registration systems, exhibitor coordination, sponsorship tracking, and conference logistics.
Support development of conference budgets and financial tracking.
Identify opportunities to improve conference programming and attendee experience.
Support speaker recruitment, continuing education (LA CES) coordination, and submissions
Oversee registration, sponsorships, exhibitors, and on-site logistics
Track metrics: attendance, revenue, sponsorships, and post-event feedback
Work with Chapter Awards Chair to manage awards programs, including updating online application and judging software, communication with members (call for entries, juries, notifications, etc), facilitation of meetings with juries, and appropriate documentation of meeting outcomes.
Communications & Membership Engagement
Coordinate Chapter communications including email campaigns, newsletters, advocacy updates, and announcements.
Support volunteer communications teams with publishing and distribution.
Maintain and update Chapter website content and event information.
Assist in outreach to members, prospective members, and allied professionals.
Maintain accurate member records and reporting within the confines of data provided by National ASLA.
Respond to member inquiries and provide customer service
Support recruitment, onboarding, and retention strategies
Work with Membership Chair to track membership trends, demographics, and engagement metrics.
Maintain membership database.
Database & Technology Management
Maintain membership, vendor, sponsor, and stakeholder databases.
Coordinate with ASLA National regarding membership and data integration.
Maintain digital records and shared cloud-based organizational resources.
Vendor Relations & Revenue Development
Maintain relationships with sponsors, exhibitors, and industry partners.
Support development of vendor partnerships and revenue opportunities.
Assist with sponsorship coordination and exhibitor engagement.
Government Affairs Support
Coordinate with Chapter leadership and political consultant regarding legislative initiatives.
Assist in communicating advocacy actions and legislative updates to membership.
Support coordination of calls to action and advocacy communications.
Maintain relationships with allied organizations and advocacy partners.
Assist with Advocacy Day and associated site tours in conjunction with Vice President of Government Affairs and political consultant.
Assist Vice President of Government Affairs with tracking of advocacy actions, meetings, outcomes and any follow up required.
Track participation in advocacy efforts.
Consultant & Stakeholder Coordination
Serve as primary liaison to consultants, including political consultants, accounting professionals, and service providers.
Support committees and section leadership through coordination and meeting participation.

Required Qualifications
Certified Association Executive (CAE) credential preferred.
Minimum of five years of experience as a leader in association or nonprofit management
Strong organizational, communication, and operational management skills
Ability to work independently in a remote environment
Willingness to travel for conferences, board meetings, and Chapter events
About Texas American Society of Landscape Architects
The Texas Chapter of the American Society Landscape Architects was established to promote the practice of landscape architecture and advanced the profession through advocacy, education, communication, and fellowship. In 1959 the Texas Chapter of ASLA was first established as a larger regional chapter known as the Southwest Chapter. It was not until 1978 that the current Texas Chapter was created.
Texas is such a large state that ASLA business is conducted on two levels: the chapter and the section. The chapter level deals with issues that govern the whole state, while the section level deals with local issues and events. There are five sections in the Texas Chapter.
