The International Association for Dental, Oral, and Craniofacial Research (IADR) and American Association for Dental, Oral, and Craniofacial Research (AADOCR) seek a creative, flexible, detail-oriented Publications Coordinator. This position is well suited for a mission driven, dynamic, high energy, and highly productive professional.
Responsible for communicating with IADR/AADOCR authors and journal editors. IADR/AADOCR is seeking a candidate with a high level of proficiency with Microsoft Office Suite, specifically Excel, and experience working with ScholarOne Manuscripts is ideal. This position is designated as management-level “exempt” under the provisions of the Fair Labor Standards Act and reports directly to the Director of Meetings & Scientific Content. IADR/AADOCR currently publish two journals, the Journal of Dental Research (JDR) (13 issue/year) and JDR Clinical & Translational Research (JDR CTR) (4 issues/year), along with multiple supplements for both titles.
IADR/AADOCR provide a hybrid work environment with 50% of the time at the office in Alexandria, Virginia.
The primary duties of this full-time position involve coordinating the online manuscript submission and review system for the scholarly journals published by the IADR/AADOCR in coordination with SAGE Publications. Including:
Checking in manuscripts for peer review and prepare accepted manuscript files for both Journals for export to SAGE Production to include reference checks
Assist Editor, Associate Editors, authors, and reviewers with online submissions/ reviews.
Prepare documents and gather information related to Editorial Board/Scientific Advisory Board nominations.
Prepare communications for sending to the Editorial Board /Scientific Advisory Board and Publications Committee (e., meeting agenda and minutes, calls for nominees, letters to members and nominees, etc.)
Assist authors with online submission of their manuscripts to both Journals
Track manuscript status and coordinate communications with Editors and related production staff regarding overdue reviews and decisions for both Journals
Prepare weekly/monthly/quarterly reporting
Prepare and maintain tracking spreadsheets related to journal Metrics/statistics for both Journals.
Handle correspondence regarding both Journals through the Editorial Office
Facilitate scheduling, notifications, and reporting for the Associate Editor Conference calls
Liaison with SAGE Publications office
Organization of supplemental issues for the journals
Update and maintain the integrity of SAGETrack author/reviewer accounts as necessary
Assist Director, Meetings and Scientific Content with upholding current procedures and polices and implementation of new processes.
Requirements:
Two years’ experience with association/scientific publications
Bachelor’s degree or equivalent work experience
Excellent customer service skills
Proficiency in Access, Word, Excel
Excellent attention to detail and accuracy
Strong organization and communications skills
