ASAE Research Foundation supports the American Society of Association Executives (ASAE) by advancing knowledge in association management and nonprofit leadership. Summary of Duties:
The Foundation Operations Coordinator will provide administrative support to ASAE Research Foundation’s Board of Directors along with technical and coordination support to the research and development teams. They will provide direct service to internal and external stakeholders and will support general foundation management operations, procedures, and systems.
The successful candidate will work in service of ASAE Research Foundation’s mission and will demonstrate a strong commitment to quality, impactful work. The coordinator will be required to work independently, handle multiple priorities and activities, and handle confidential matters with discretion and balance. Ideal candidates will be well-organized and flexible with strong verbal and written communication skills. A solid history of collaboration within and among teams and across departments is a must. The Foundation Operations Coordinator must also demonstrate self-direction, take the initiative, and operate under tight deadlines.
The Foundation Operations Coordinator provides operational and administrative support for the Research Foundation in a small, team-oriented office as well as team members across different areas within ASAE. In addition, this position will participate in a broad range of operational logistics and tasks for the Foundation including support for all Board of Directors meetings.
The Foundation Operations Coordinator will be expected to:
• Day to Day Administrative & Operational related responsibilities:
Support the overall functioning of the team by managing mail, office supplies, IT needs, and team calendars.
Manages the Foundation and Research email boxes daily ensuring all inquiries are forwarded to the appropriate ASAE Research Foundation/ASAE staff and is the first point of contact for the Foundation hotline.
Handles all the logistics for the ASAE Research Foundation Board meetings to include scheduling, guest coordination, meeting materials, meeting space prep, draft minutes and management of follow-up tasks.
Maintain up to date lists of ASAE Research Foundation Board members and committees.
Provide volunteer management inclusive of meeting coordination, logistics, agendas, and minutes for the ASAE Research Foundation Committees, Steering Committees, with liaison management of the Donor Stewardship Taskforce.
Coordinate internal and external meetings including material preparation, conference room booking, greeting guests, logistical support, serving refreshments and arranging catering.
Manage donor event logistics from invitations, name badges, donor ribbons, registration, catering, event set-up, PowerPoint, and other duties as needed.
Assist with ASAE Research Foundation events, in-person or virtual, when necessary.
Coordinate all marketing needs for donor and research events as needed.
Manage content gathering for quarterly e-newsletter, Insights.
Maintain up to date donor records and organization of Foundation files.
Management of all ASAE Research Foundation website content and updates.
Coordinate webinar series each year with ASAE membership team on Foundation activities.
Coordinate staff lunch and learns each year for ASAE staff on Foundation research.
Process pledges, donations, and APAC matches in Aptify/Donor Perfect.
Handle donor receipts, template emails, and donor recognition levels in DonorPerfect.
Manage other donor data, reports, invites, as needed in DonorPerfect.
Other duties and responsibilities within ASAE Research Foundation as assigned.
Supervisory Responsibility This position has no supervisory responsibilities.
Work Environment This position operates in a professional office environment and routinely uses standard office equipment. This position is eligible to participate in the work from home program.
Physical Demands This position must be able to lift up to 25 lbs.
Position Type and Expected Hours of Work This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m.
Required Education and Experience
Bachelor’s degree in related field or equivalent combination of education, training, and experience
Intermediate knowledge of Microsoft Office Suite, especially Excel, PowerPoint, and Microsoft Teams
3-5 years of experience
Preferred Education and Experience
Work or volunteer experience with associations or nonprofits desirable
Additional Skills
Exceptional commitment to detail, accuracy and organization with demonstrated success in project management and handling multiple priorities, with the ability to effectively manage projects from start to finish.
Technical/Software Skills
Proficient with Microsoft Office and comfortable learning new technologies.
Experience with donor management software preferred.
Work Authorization/Security Clearance Must be able to work legally within the United States without sponsorship.
