The American Association of Colleges and Universities (AAC&U), the leading national higher education association that advances the democratic purposes of higher education by promoting equity, innovation, and excellence in liberal education, seeks an Administrative Assistant/Assistant to the Vice President in the Office of Diversity, Equity, and Student Success (DESS). The Administrative Assistant will report to the Vice President for Diversity, Equity, and Student Success and Executive Director for the Truth, Racial Healing, and Transformation (TRHT) Campus Centers. The DESS Administrative Assistant/Assistant to the Vice President is responsible for providing administrative support to the Vice President, and other programs and projects within the DESS office. The Administrative Assistant is part of high-functioning office that depends on rapid communication and teamwork to conduct programs and projects.
AAC&U seeks a candidate who is self-directed, collaborative, and can multi-task in a fast-paced office environment.
Duties and Responsibilities
These tasks include, but are not limited to:
Corresponding by email and phone with internal AAC&U staff and external members and affiliates;
Coordinating travel and managing calendar assignments for the Vice President, and others, as assigned;
Organizing calendar items for DESS meetings;
Developing and maintaining spreadsheets and data entry for contacts, programs, and projects;
Preparing communications and background materials for campus visits and speaking engagements;
Processing expense reimbursements, invoices, and bills;
Managing and maintaining specified budget records;
Maintaining and organizing DESS electronic files;
Ordering office supplies;
Collaborating with other DESS staff and internal offices on the logistics and program for the DESS conference and the Institutes on High-Impact Practices and Student Success, and TRHT Campus Centers; and
Other duties as assigned.
Excellent organizational, oral, and written communication skills
Strong computer skills, including MS Office suite
Proficient in database management, including familiarity with Excel
Outstanding attention to detail, with understanding of larger contexts
Experience working with diverse populations
Dependability, flexibility, and strict confidentiality
Ability to work both collaboratively, as a member of a team, and independently to accomplish goals
Effective time management skills; ability to balance and set priorities among many tasks to meet deadlines
Interest in higher education issues, particularly related to diversity, equity, and student success
Self-directed ability to thrive in a fast-paced office and association at the center of higher education reform
At least two years of work experience required (preferably in a higher education or nonprofit environment). A bachelor’s degree is also required, and a master’s degree is preferred.
