The American Association of Veterinary Medical Colleges (AAVMC) is a non-profit organization representing the global academic veterinary medical community. AAVMC members promote and protect the health and wellbeing of people, animals, and the environment by advancing the veterinary medical profession and preparing new generations of veterinarians to meet the evolving needs of a changing world.
The AAVMC offers a variety of programmatic opportunities as part of its association portfolio. We seek a team-oriented, collaborative professional to oversee the implementation of projects and programs of the AAVMC, including administrative and logistical support as needed for successful project execution and end-to-end delivery of waiver, scholarship, and grant programs. The Program Coordinator will work with leadership to align program objectives with the association’s strategy and policies. The Program Coordinator will develop and implement effective program delivery processes in collaboration with internal and external stakeholders. The Program Coordinator will demonstrate outstanding organizational and time management skills. The goal of the position is to work collaboratively with internal and external stakeholders to facilitate effective management of AAVMC programs according to the organization’s standards.
The ideal candidate has excellent project management skills and can simultaneously manage multiple projects in various stages of development. This role requires excellent attention to detail and the ability to navigate complex and unexpected challenges that arise as part of the development of new programs and/or revisions to existing programs. The position demands frequent information-sharing and collaboration, flexibility, creative problem-solving, and outstanding customer service.
Primary Duties and Responsibilities
Serves as a central point of contact between staff, volunteers and/or external constituencies on day-to-day programmatic, operational, and administrative matters, including general problem resolution
Manages work assignments, workloads, and timelines to keep assigned programs on schedule, within stated budgets and functioning smoothly
Collaborates with the meetings manager to schedule and organize program-related meetings and events, including maintaining documentation for program-related meetings
Develops and monitors implementation of program policies and practices, including record-keeping and reporting processes
Provides end-to-end delivery of AAVMC’s waiver, scholarship, and grant programs, from application to close-out activities and including all necessary documentation and paperwork
Supports program growth and development, such as assisting with grant and/or proposal writing, as necessary
Assesses program status across all assigned programs for the purpose of developing association-wide report(s)
Monitors and administers program/project revenues and expenses
May research information and gather and compute various data to support preparation of special and/or one-time reports, summaries, or replies to inquiries
May perform specialized activities of a programmatic nature in direct support of the accomplishment of program objectives and protocol
Collaborates with the marketing team to ensure successful delivery of programs
Works with internal teams to incorporate diversity, equity, and inclusion principles into the AAVMC’s overall operations.
Promotes a culture of continuous improvement and customer service, responding to and anticipating stakeholder needs.
Performs miscellaneous job-related duties as assigned
Qualifications
Minimum of 3 years relevant work experience in an office environment
Excellent interpersonal and communications skills
Ability to work well in a team setting, managing multiple priorities and projects, and navigating a dynamic work environment while meeting deadlines
Excellent oral and written communication, and time and project management skills
Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook) is required; Smartsheet and Dropbox experience is preferred
Ability to develop professional relationships and internal/external teams.
Ability to travel 4-6 times a year, as needed for programmatic support
