NAHB is seeking a Meetings Manager who is a self-starter, people-oriented, and capable of multi-tasking while staying focused on managing multiple tasks and meetings at a time. This role requires a high level of customer relationship management, strong attention to detail, strong organization and prioritization, project management, and time-management skills. As a vital member of the 20 Clubs Meeting Planning Department directly reporting to the Senior Director, of Meeting Logistics, this position will have a hands-on role in conducting the logistical planning for up to 15 clubs that each meet twice a year.
Key Responsibilities:
Logistical Planning:
Serve as liaison between clubs’ meeting hosts, clubs’ leadership, and clubs’ NAHB staff facilitators who travel to the meetings and represent NAHB as the onsite point of contact at the clubs’ meetings on all logistical facets of the meeting.
Manage the logistical planning and execution of up to 30 meetings annually.
Administrative Tasks:
Work closely with the Senior Director on contract negotiation.
Manage the meeting registration process (i.e., work closely with the Senior Director in creating the online registration form, creating the attendance list for each meeting, and tracking meeting registration).
Manage and track meeting expenses and billings i.e., ensure required payments are submitted to vendors on a timely basis, ensure receipts for expenses are received and submitted to Senior Director, review invoices and final billings from the hotel to ensure that all charges are accurate.
Requirements:
Highly organized and able to quickly prioritize multiple projects and tasks simultaneously and with a sense of urgency.
Intermediate or advanced experience working with MS Office (Outlook, Word, Excel, PowerPoint), and Office 365 experience is preferred.
A minimum of two to three years of meeting/event planning experience is preferred.
