The Manager, Corporate Engagement & Fulfillment is responsible for logistics for exhibits and sponsorships at the AAAE Annual Conference & Exposition with 300+ companies, as well as 400+ exhibits for five additional large meetings and numerous smaller meetings each year. The Manager supports sales efforts for digital and print advertising and oversees customer service for these areas. This role also supervises the Coordinator, Corporate Engagement & Fulfillment.
Primary duties and responsibilities:
Once an exhibit or sponsorship is sold, the manager serves as the primary customer service contact, overseeing confirmations to sponsoring and exhibiting companies and ensuring the company is aware of all policies, next steps, has paid for the sponsorship and/or exhibit and registered all booth personnel and sponsor complimentary registrations
Manages contract fulfillment and creation of sales invoices
Updates the trade show floor layout using a2z software for the annual conference and creates, maintains, and updates exhibit floor plans for assigned meetings
Oversees maintenance, updates, and quality control reviews on sponsorship and exhibit portions of the meetings’ websites, ensuring accuracy of logos, company information, and overall information
Manages exhibitor and sponsor registration in advance and onsite at annual trade show and other large meetings as assigned
Responsible for acquisition of company logos and images for use in directories, presentations, signs, and show art
Creates exhibitor and sponsor directories for conference and meeting programs
Serves as lead with general service contractors and responsible for sending RFPs
Oversees new sales leads process and prospects for select meetings
Attends outside trade shows as AAAE representative, as assigned
Interfaces regularly with AAAE corporate members and prospective members by addressing inquiries and requests
Assists with AAAE corporate partner plans and enters sales orders in iMIS
Position requires flexible schedule to travel
Performs other related duties and assignments as required
Education, prior work experience, and specialized skills and knowledge:
Bachelor’s Degree
Minimum 5 years of experience in exhibits and sponsorships
Excellent analytical, communication, time management, project management, and organizational skills
Tech-savvy with a working knowledge of Outlook, Word, Excel, and PowerPoint
Solid Web research skills and proofing skills
Database experience, iMIS preferred
Familiarity with exhibition management software such as a2z
Knowledge of email marketing platforms such as Informz
