ASTRO, the American Society for Radiation Oncology, is seeking an experienced eLearning Program Manager to join our eLearning team.
Under the leadership of the Assistant Director of eLearning, this position will guide the development of educational products and services for ASTRO online and hybrid learning initiatives. The Program Manager will work closely with internal and external stakeholders to manage all aspects of program development—research, planning, development, execution, evaluation and sustainment. These initiatives include self-paced online learning activities in ASTRO’s learning management system, the virtual component of ASTRO’s Annual Meeting, live and on-demand webinars, live online multi-day events and new eLearning offerings.
Additionally, the eLearning Program Manager will use ASTRO’s learning management system and other technology to develop and enhance online and hybrid learning, while working within the parameters set by the American Medical Association (AMA), the Accreditation Council for Continuing Medical Education (AACME), and the American Board of Radiology (ABR). Finally, the eLearning Program Manager will develop top-quality online educational opportunities to meet the needs of professionals in the radiation oncology field, enabling ASTRO eLearning to innovate and grow.
NOTE: ASTRO offers a hybrid work environment. The position is based in Arlington, VA at ASTRO’s headquarters and eligible for immediate telework up to 3x/week. All employees must be fully vaccinated as a condition for employment.
Primary job responsibilities will include the following:
Plan, organize and implement online activities/events (live and on-demand) and virtual components of in-person events. Ensures project deliverables are on-time, within scope, and within budget.
Ensure online and hybrid learning initiatives meet the varied needs of the ASTRO membership and are consistent with the mission and strategic goals of ASTRO.
Identify educational gaps by conducting and reviewing relevant needs assessments and evaluation activities and research ways for the department to innovate.
Maintain awareness of new regulations and guidelines concerning continuing medical education and ensure that program design and documentation are in compliance with guidelines established by the ACCME, AMA and ABR.
Leverage learning management system to grow online and hybrid learning to meet both learner needs and produce expected results.
Ensure the continuing medical education (CME) component of online and hybrid learning activities are ACCME compliant, including the Standards for Commercial Support.
Establish and streamline guiding principles for the development, implementation, management and evaluation of educational and scientific content.
Serve as the main point of contact for planning committees, faculty and co-sponsors. Manage volunteer planning processes.
Make recommendations on an appropriate educational design/format for enduring materials.
Coordinate internal resources and oversee third parties/vendors to ensure technical feasibility and meet project timeline and deliverables.
Assist in the continuing education accreditation and re-accreditation processes.
Serve as staff liaison for Education Committee subcommittees as assigned.
Utilize various technologies as educational tools used to host or enhance learner engagement.

Qualified candidates will have:
Education/Experience
Bachelor’s degree and/or equivalent work experience that matches the knowledge and skill sets required. (Degree in education, online learning or learning technology preferred.)
5+ years of experience in education project/program management.
3+ years of experience in online learning, learning management systems, association management, and/or knowledge management preferably in a medical specialty society, non-profit, or other education-related field. Work requires substantial knowledge with conceptual understanding in place, strategic planning abilities and sufficient professional experience to work on complex assignments with minimal supervision.
Experience working with accredited medical education preferred.
Knowledge, Skills and Abilities
Experience with design and delivery of virtual education programs and events and learning management system administration (Ethos CE preferred).
Must have strong project management skills; able to organize tasks within multiple projects and develop realistic actions plans with attention to detail while being sensitive to time constraints and resource availability.
Knowledge of online and/or hybrid continuing education activities and trends within the adult education, non-profit, or medical specialty society fields.
Experience with association management systems and membership databases (Aptify preferred).
Proficiency in content management systems (Kentico preferred) and HTML basics.
Proficiency in webinar software (Zoom preferred) and hosting live meeting/webinar events.
Knowledge of continuing medical education requirements, including ACCME standards and essential areas.
Must display resourcefulness, ability to work independently and ability to work beyond defined/established procedures/processes to develop new ways of accomplishing work objectives.
Must have excellent oral and written communication skills in order to interact effectively with internal and external stakeholders, particularly with volunteers and physicians—listens effectively and clarifies as needed.
Must have outstanding interpersonal skills: shows understanding, friendliness, courtesy, tact, empathy, cooperation, concern, and politeness to others; relates well to different people from varied backgrounds and different situations (such as internal staff, volunteers, physicians, and other external entities).
Demonstrated skill in frontline customer service.
Ability to work effectively both intra-departmentally and inter-departmentally (IT Department, Communications Department, etc.).
Ability to manage vendors and provide oversight.
Ability to manage physician volunteers to secure project deliverables within deadlines.
Must be results-orientated: able to work at a fast pace, determine priorities and meet critical deadlines.
Must excel in decision-making and problem solving, able to take action in solving problems while exhibiting judgment and a realistic understanding of issues.
Must be able to use critical thinking to further strategic goals.
Working Conditions
Open assigned cubicle general office environment in Arlington, VA (Crystal City) with telecommuting opportunities. Optional travel approximately 2-3 times per year including weeklong Annual Meeting.
