The Manager, Membership and Meetings is dedicated to developing and maintaining relationships with members, becoming an extension of their business, and serving as their internal UTC advocate, thereby ensuring they receive optimum value from their membership or affiliation with the Council. As such, the Manager, Membership and Meetings will have primary responsibility for the recruitment and retention of members, work cross functionally as a critical communications conduit between industry practitioners and the Council, provide vital management of and support to assigned UTC’s divisions and committees and their activities, have primary responsibility for membership-related data within UTC’s Association Management System (AMS) and serve as an initial point of escalation for member needs. This role works closely with the President & CEO to develop and guide ideas for further membership growth.
The Manager, Membership and Meetings responsibilities include working with outside contracted meeting planning representatives and internal staff in the planning and execution phases of association events and activities. Additional elements include UTC’s webinar program, budget process and related duties as assigned.

Manage UTC’s membership recruitment effort from prospecting through on-boarding to support top line revenue, performance and growth objectives. Develop and implement new, entrepreneurial ways to recruit and retain members, integrating these efforts with member benefits and marketing activities to further enhance overall member value.
Manage and implement all aspects of UTC’s member application and renewal process, including dues structure and implementation, invoicing, payment, and collection processes, monitoring revenue flow, reporting, identifying opportunities to improve efficiency. Design and implement new member welcoming and onboarding process.
Manage prospect and membership data within UTC’s AMS (NetForum) Spearhead efforts to improve, maintain, and utilize membership data. Create and implement data-driven annual membership plan, strategies to diversify and grow the Council’s membership, including identifying additional sales and marketing opportunities for existing products and services.
Working cross functionally, develop a unified, progressive strategy for determining member needs and interests then translating these needs into solutions that enhance and expand the overall value of UTC membership. Assess and analyze the performance of existing membership programs and services, benefits and business strategies. Make recommendations for enhancements in order to provide increased value to members. Coordinate implementation of new member benefits.
In conjunction with the marketing and communications team, identify, develop, implement, and evaluate marketing strategies to communicate UTC’s value to members and prospects in keeping with the overall marketing and branding objectives; oversee the design, production, and distribution of collateral membership materials. Provide input into the appropriate areas of UTC’s websites and assist in production of the Council’s communications tools as they relate to membership matters.
Provide weekly reports, including preparing briefs, corporate minutes, and other board documents as needed. Prepare, oversee and monitor the operation and annual budget of the membership area to ensure that revenue meets or exceeds budget as a result of retention and growth within the membership; work with senior staff to develop revenue targets for budget. Monitor and forecast progress towards budget targets and produce regular membership reports that track key membership indicators, particularly overall membership counts, renewal rates, new member counts, and attrition.
Facilitate and manage the daily workflow and activities of membership division and its subcommittees under purview to promote member engagement and maximize group process and effectiveness, thus enabling important, measurable outcomes to be realized. Actively solicit feedback from members and seek innovative ways to provide industry leadership, thereby enhancing the efficacy of UTC and contributing to a high value membership experience.
Demonstrate initiative and reliability; take on tasks, follow through, and readily assist others in meeting targets and goals. Take responsibility for ensuring established timelines are met, including coordination with other teams as necessary. Demonstrate professionalism through appearance and actions that enhance the Council’s image, including written and verbal communications, and ensure that each member is served with both competence and professional grace.
At the direction of senior staff, participate in the development and completion of special initiatives as assigned
Identify and implement member tools to enhance member benefits.
Serve as liaison to hotels, convention centers, and suppliers for selected meetings
Work with hotel staff and other vendors pre-event, on-site, and post-event.
Develop and produce event reports, including registration reports and meeting histories.
Ensure all relevant event information is up-to-date and accurate at time of event.
Ensure all meetings are established in NetForum database and associated information is correct and accurate.
Develop and implement registration process for pre-registration, on-site, and post-event reports.
Manage processing of registration payments.
Assist in speakers’ confirmation and registration for UTC Meetings.
Ensure correct copy and descriptions are used in promotional materials.
Develop and execute marketing schedule to promote UTC Meetings.
Establish evaluation process for participants and faculty of educational delivery.
Schedule conference calls, compile activity reports and manage work project activities.

Bachelor’s degree in business administration, liberal arts, or related discipline.
Minimum 5 years of association membership and database management experience.
Experience in a writing-intensive position, ideally in an association or business-to-business professional services environment.
Expert at navigating association management, contact management, or sales databases. Abila’s NetForum experience a plus.
A good knowledge of marketing, management, administration, planning, budgeting, finance, market research and member relationship management skills and techniques
