The Intelligence and National Security Alliance is hiring an Events Coordinator to assist with the day-to-day tasks and planning of our virtual and in-person meetings and events. The ideal candidate is customer-service focused and able to work independently, in a supporting role, and as part of a team. This role has high visibility with members and significant interaction with event participants, sponsors, and speakers.
This position reports to the Director, Meeting and Events.
Provide logistical and hands-on support for live and virtual meetings and events.
Setup and maintain records in our event registration database
Lead all virtual event setup and execution to include creating the program in our virtual platform, uploading any collateral or video content into the platform, review settings, and ensure any extra features (polls, surveys, etc.) are ready.
Prior to virtual events, oversee dry runs with speakers and sponsors. Keep event director informed of program schedule.
Assist Event Director with onsite registration set-up for all in-person events and meetings, help guide temporary staff, and assist with bag stuffing for events (as needed).
Perform post-program duties, such as assisting in reconciling bills and restocking returned materials.
Assist with responding to calls and e-mails related to meetings and events.
Coordinate packing and shipping (when applicable) of event materials to show site.
Manage planning timelines to keep projects running smoothly and on schedule.
Assist with signage details for meetings and events.
Other duties as assigned.
Undergraduate degree in Event Management, or commensurate experience
2+ years of related experience in events or hospitality
An eye for detail with history of accurate, precise work
At least 1-2 years of professional office or customer service experience preferred
Desire to expand skillset and knowledge of events & professional development
Enthusiasm for events – all types and all sizes – with a passion for event/meeting planning, organization, and project management
Willingness to get your hands dirty. All team members participate in every facet of our events: set-up, execution, and evaluation. No task is too large or too small for the right candidate.
Proficiency with Microsoft suite
Strong interpersonal skills, patience, and the ability to interface with a variety of people, are key to the position.
Some knowledge of CVENT or willingness to learn!
Some knowledge of virtual platforms such as GoToWebinar of Zoom -- or willingness to learn!
Demonstrable experience in communicating and working with suppliers, contractors, employees, and others to craft flawless, successful, fun events
Ability to lift 50 pounds
Ability to work some nights and the occasional weekend.
