Smithbucklin, the leading Association Management Company, is looking for a Trade Show Coordinator to join the Event Services team in Chicago or Washington, DC. Our Event Services unit provides meeting, convention, event, trade show and sponsorship management worldwide through the expertise of our meeting professionals, who manage every facet and detail of our client organizations' events. Trade Show Coordinators are responsible for supporting all client trade show and sponsorship fulfillment needs. This position will play a critical role in developing creative and strategic event solutions for several of our client shows and providing show logistics and sponsorship fulfillment services in a multi-tasking environment.
What You Will Do
- Assist and contribute to the planning of trade shows; to include but not limited to pre-planning, site sourcing and selection, supplier coordination, onsite execution and post event wrap-up for large, mid-size and small-scale shows
- Sponsorship package fulfillment and tracking; to include creation, collection and fulfillment of sponsor benefits
- Develop and maintain relationships with exhibitors and sponsors
- Manage project plans, contracts and agreements and ensure consistent communication with clients regarding show updates, project milestones and deliverables
- Counsel clients on industry best practices and contribute innovative and effective ideas to client strategic planning and process analysis
- Manage accuracy and efficiency in financial reconciliation of the show and sponsorship programs
- Prepare dashboard and post show reports
- Facilitate continuous communication between other Smithbucklin units, clients and exhibitors/sponsors, attendees and suppliers to meet the needs of client organizations
- Manage general contractor and security provider specifications and requirements
- Oversee and manage entry-level staff
- Travel and work overtime as needed to attend events and client meetings (may include weekends)
- Assist with planning responsibilities for multiple clients and meetings concurrently
- Contribute to overall team success by identifying problems and proactively seeking out methods to improve self-performance and/or efficiency of an operation or task

Basic Qualifications
- Bachelor's degree from an accredited four-year institution or equivalent experience
- 3-6 years total professional experience in a related industry
Preferred Qualifications
- Knowledge of meeting and trade show industry terminology and comprehensive knowledge of meeting planning, tradeshow and sponsorship processes
- Experience managing multiple clients simultaneously
- Association experience a plus
- Familiarity with venues, facilities, convention centers and convention city packages throughout the country
- Project management experience to include meeting deadlines on time and on budget
- Experience and comfort around financial management processes, to include budgeting practices
- Experience with international meetings and tradeshows is a plus
- Experience with Exhibit Management software, is a plus
- Experience with Salesforce and/or other CRMs is a plus
- Proficiency with basic computer programming, including the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
