POSITION OVERVIEW & DESCRIPTION
The Coordinator, Sponsorship & Exhibits, acts as an essential team member responsible for the fulfillment of all sponsorship and exhibit functions, benefits, invoicing, and prospectus tracking.
RESPONSIBILITIES:
- Set up and process all approved sponsorship agreements in CRM platform, generate invoices, and monitor payments
- Maintain sponsorship tracker and update prospectus with current opportunities available
- Communicate timelines and fulfillment deadlines for sponsors and exhibitors
- Assist with First Right of Refusal for sponsorships and maintain records of communication
- Collect, track, and upload logos, company profiles, and other materials to ensure fulfillment for exhibitors and sponsors
- Create approved email broadcast campaigns, including collecting all materials, editing HTML files, and tracking performance
- Assist onsite to ensure sponsor deliverables are fulfilled and logged for reporting
- Solicit requests for proposals for promotional items and present best options, track product shipment and onsite display, and post event storage
- Assist in identifying new opportunities for year-round sponsor and exhibitor engagement
- Provide general coordination support for other association events and meetings as needed
- Other duties as assigned
QUALIFICATIONS
- Bachelor's degree is desired but not required
- Two to four years of experience in sponsorship, or exposition and event management
- Proficiency in Microsoft Office Suite and knowledge of various software including Salesforce and floor plan management platforms.
- Ability to meet deadlines, manage multiple tasks and adjust workload to meet shifting priorities
- Extreme diligence with high-volume activity
- Strong administrative, communication, and writing skills
- Customer service oriented
- Ability to work effectively both individually and in a team environment
- Some travel required, including weekends
- Ability to walk or stand for extended periods of time on-site during events
- Some physical activity required (ability to lift to 30 lbs.; pack/unpack show shipment; onsite office set-up)
