Education & Meetings Coordinator!
American College of Prosthodontists (ACP) is searching for an experienced professional who is highly skilled in all aspects of administrative support. This newly created position will be instrumental in the successful planning and implementation for any meetings or events for ACP and the American College of Prosthodontists Education Foundation (ACPEF). Additionally this individual will assist in the implementation and growth of ACP’s in-person and virtual continuing education (CE) classes including providing any member/customer support related to continuing education.

What is the Opportunity?
Under the leadership of the Manager, Education & Meetings this key role will be responsible for the coordination of meetings/events (in-person and virtual) from start to finish and administration of all CE programs. More specifically the successful candidate would be responsible for the following:
Staff events and manage onsite event registration; includes occasional travel to meetings.
Responsible for all corporate payments including creating invoices, processing payments, and tracking for event budget reconciliation.
Collect and process exhibitor contracts, payments, and floor plan details for events.
Maintain solid relationships with exhibitors/sponsors.
Organize and coordinate registration activities and handle any registrant inquiries for all events.
Send and track correspondence with speakers including releases, disclosures, course materials, honorarium payments, and expense reports.
Coordinate creation of event publications and syllabus materials including creation of event materials and signage.
Create online evaluations and assist in preparation of post-event reports.
Oversee meeting setup and tear down including supplies, materials, packing, and shipping.
Respond and monitor general education e-mail and continuing education (CE) inquiries in a timely manner.
Schedule and confirm various CE planning calls and attend as directed.
Maintain accurate files for CE programs to ensure compliance with ADA-CERP and AGD-PACE guidelines.
Assist with processing ADA-CERP CE applications from ACP sections and other prosthodontic forum organizations.
Provide documentation and assist in preparing annual reports to ADA and AGD.
Complete renewal applications for the ADA-CERP and AGD-PACE in collaboration with the Manager.
Maintain and update the learning management system (LMS) on a regular basis.
Assist with planning, development, and implementation of departmental and association goals.
Perform other duties as assigned.
Interviews: All will be held on a virtual basis.
Job Location: Currently all positions are remote with visits to the office as needed. ACP plans to adopt a hybrid work environment, but has not yet done so because of the pandemic. The candidate must reside within a reasonable distance from downtown Chicago due to the need to come into the office. Relocation assistance for out of state candidates will not be provided.
What qualifications are needed?
The successful candidate would possess the following:
Bachelor’s degree or equivalent amount of experience is required
Minimum of 2 years’ related experience; Association or non-profit experience a plus
Solid experience with Microsoft Office Suite and Adobe Acrobat required
Ability to adapt quickly to using new technology and software
Working knowledge of Zoom/Zoom webinar
Experience with iMIS or other Customer Relationship Management (CRM) software a plus
Show initiative and work independently as an individual contributor, yet able to work and contribute positively in a team setting.
Effectively prioritize and execute tasks incorporating shifting priorities, demands and timelines? multi-task and handle multiple projects efficiently.
Ability to analyze and solve challenges quickly and effectively.
Exceptional oral and written communication skills (including proofreading).
Elicit cooperation from a wide variety of sources including management, volunteers, staff departments, and vendors.
Provide exceptional customer service to both internal and external clients.
Ability to travel on a limited basis (2-3 trips per year) with 5-7 days for the annual conference being the longest period per year including also being able to occasionally work weekends, evenings, or other irregular hours.
