The Technology Manager oversees services related to the organization’s information technology infrastructure both on premise and cloud-based running primarily on a Microsoft/Cisco network architecture. The manager oversees IT resource requirements to ensure appropriate balance between operational and strategic demands at the organization’s headquarters and remote offices. The manager is responsible for implementing cyber security and continuity plan protocols in conjunction with vendors to ensure the safety, security, and continuity of system. To help increase security of systems, manager implements and manages annual cyber security training for staff using services such as KnowBe4. Additional responsibilities include the management of SaaS based RingCentral phone system and the management of network and communication service providers/vendors to ensure network reliability and maintain cyber security. The core technology state of AFTA is in a stable position with upgraded and new technologies and the organization has shifted from its core IT solutions leaving the manager to focus on implementing the Digital Transformation strategy over the next 24 months. The manager functions as part of a larger technology department that maintains the organization’s databases, websites, and network systems. The director supervises a help desk coordinator and interacts with AFTA external technology vendors, ensuring they are meeting the strategic needs of the organization.
KEY DUTIES AND RESPONSIBILITIES
Act as the point of escalation in conjunction with outsourced consultant overseeing and troubleshooting technical support related to the Information Technology (IT) infrastructure
Provide planning, budgeting, technical advice, and leadership for all information technology aspects of the organization
Manage technology roadmap in conjunction with consultants, analyzing current and future technology solutions to keep the organization on current technology platforms, to find the best solutions for the needs, and to ensure that cost saving majors are considered and put in place
Research, recommend, develop, and manage the deployment of new systems, methods, and structures as required; provide direction for operational scheduling, data storage and protection including backups/retrievals, plus disaster recovery functions for the IT infrastructure
Manage outsourced consultant to ensure the maintenance of network systems including file servers, firewalls, routers, switches, workstations, printers, and other peripheral devices to track significant problems, monitor performance, and ensure upgrades and patches to hardware/software are performed as required
Evaluate risks in conjunction with consultants of our current infrastructure and develop plans to improve our security posture and reliability. Ensure periodic audits of user accounts and access levels. In partnership with our security team, design a long-term strategy to protect the company from external and internal threats.
Oversee the building of laptops for new employees, offer technical support to company staff, and troubleshoot computer problems. Help ensure staff are following security best practices.
Oversee backups and periodically ensure test restoration of backups are successful.
Maintain and contribute to a robust business continuity plan and ensure regular disaster recovery drills are conducted.
Develop and maintain equipment inventory reports detailing capital asset information; develop equipment lifecycle plans to ensure that the organization has appropriate equipment to keep pace with technology advances and future requirements
Operate and maintain telecommunication systems including SaaS Ring Central phone system, audio and video conferencing solutions
Manage telecommunication service providers including local/long distance voice circuits and internet/interoffice data circuits to ensure network availability
Develop, draft, and enforce technology policies and guidelines to ensure network health and protect the security of organization’s data
Train technology staff as well as staff from other departments who interface with the organizational network to follow standard operating procedures necessary to maintain the integrity of network systems
Manage relationships with vendors
Work with technology staff and staff from other departments to document and keep up to date standard operating procedures
Oversee the development and maintenance of documentation regarding network configurations, standard operating procedures, and service records relating to the organization’s IT infrastructure
Attend classes, seminars, conferences, and review professional literature to enhance knowledge of trends and developments related to network systems, intranet website development, and database administration
Support the mission and vision of Americans for the Arts in all interactions with colleagues and staff
Coach and develop direct reports
Provide ongoing performance feedback to employees
Administer mid-year review of performance goals and annual performance review
Operate within and support Americans for the Arts personnel policies and practices
Develop and update employee job descriptions as necessary
Support and carry out management decisions
Bachelor’s degree in Information Technology, Computer Science, or a related field required
Five years’ experience in the information technology field with progressively greater responsibility required
Supervisory experience, team building, and collaboration skills required
Demonstrated knowledge of network hardware including HP file servers, printers, Uninterruptible Power Supplies (UPS), and Cisco network equipment including firewalls, routers, and switches
Real-world production experience managing Microsoft software products including Office 360, Microsoft Server and SharePoint
Demonstrated knowledge of Microsoft Windows and Macintosh operating systems and hardware environments
Knowledge and experience dealing with and preventing Phishing, Spam, and other external threats.
Demonstrated experience managing network and telecommunications service providers/consultants
Experience managing UCaaS phone system, specifically Ring Central
Experience managing systems in hosted/remote environments
Experience leading and managing large IT projects and ability to manage several projects at once, with excellent ability to prioritize and delegate
Firm grasp on cybersecurity and IT infrastructure best practices
Familiarization networking technologies including LAN/WAN and VPN and security challenges including viruses, spyware, malware, and SPAM
Outstanding analytical, planning, verbal/written communication, and problem-solving skills required
Strong organizational skills and the ability to handle multiple projects and deadlines simultaneously with minimal supervision required
Information Technology experience in an association/non-profit environment preferred
Ability to lift up to 30 pounds to move and setup equipment as required
A positive attitude and an earnest interest in providing good customer service to our members and partners
