Looking for a Chicago based professional to fill the role of an Account Executive, who will be responsible for the overall management of professional association(s) and ensuring contractual obligations are fulfilled to meet or exceed client expectations. This includes providing leadership for the client(s) and management of internal client teams to coordinate the related activities: membership, education/professional development, governance, advocacy and grant writing, financials, events, marketing, communications.
Serve as a primary liaison between client organizations (board, volunteers, committees) and internal team.
Work with the Executive Director to ensure that the mission, vision, goals, and objectives of the client association are met;
Manage specific strategic initiatives working with the Board of Directors and Executive Director in areas such as membership value, education/professional development initiatives, advocacy, grant writing, revenue diversification, conference value, and strategic programs in efforts to grow and serve the organization’s mission;
Manage an annual operations plan that guides the client association’s activities toward attainment of strategic goals;
Ensure adherence to budget guidelines and objectives;
Prepare and present status reports and access to track organizational progress and offer solutions to enhance client success;
Encourage and assist volunteer leaders, assist the Board in recruiting talent to volunteer leadership positions and manage volunteer programs and committees;
Consistent and responsible communication with the internal team, Board members, organization members, committee members, and sponsors/exhibitors when needed.
Answer phone calls and respond to general inquiries/FAQs, check and address voicemails.
Keep email correspondence and be able to address inquiries from members concerning services provided by the client association.
Email and calendar maintenance: draft emails as requested.
Manage Meetings: taking accurate notes/minutes during meetings, notating call-to-action tasks, creating drafts for agendas for upcoming meetings.
Bookkeeping: experience with online QuickBooks is preferred, reviewing and running monthly financial reports, allocate transactions.
Update the Procedures Manuals and organize the G-Drive and Basecamp folders meticulously and as needed.
Assist with developing and streamlining workflow processes as necessary.
Assist the executive staff with requested administrative tasks in the areas of nonprofit management, marketing and social media, membership servicing, professional development tracking, event planning, day-to-day bookkeeping, budgeting, on-site conference assistance, registrations, client transitioning, and organizing digital files, etc.
Overseeing implementation of programs and initiatives set as goals by the Board of Directors, Executive Director, and Committees.
Knowledge and Skills We are looking for a candidate with demonstrated experience, personal attributes, and a track record of success that includes:
Leading the growth of a diverse and dynamic organization in an executive role with accountability to the Board of Directors, ideally with direct experience with the public and/or nonprofit sector.
Ability to oversee and manage key areas of service: membership, continuous education/professional development, advocacy, and grant writing.
Developing and executing strategic and operations plans, financial management, and budgeting experience. Managing effective and efficient operations, member-centric programs, and projects. Ability to set appropriate goals and outcomes.
Managing communications for public relations, members and member prospects, professional development, conferences and events, and other networking activities.
Strong oral and written communication skills.
Strong attention to detail, accuracy, and dependability.
Managing complex relationships and the ability to identify and articulate a strong membership value proposition.
Experience as an association executive, board member, and/or experience in a role with accountability to a volunteer board.
Demonstrate organizational and leadership experience working in a team environment.
Commitment to diversity and inclusion across a large and varied membership, including an international constituency.
Possessing aptitude in seeing the big picture while also having an eye for detail; with the ability to have both a visionary mindset while accomplishing task lists.
Ability to manage multiple projects simultaneously while meeting deadlines.
Must be comfortable with learning and working with member management software.
Ability to be flexible with shifting tasks as requested.
Good working knowledge of office software: Google Drive/Doc/Sheets/Gmail, Adobe Acrobat (pdf editing), online QuickBooks, and Apple/Mac products.
Event planning experience is a plus.
Proficient in Internet research/navigation; knowledge of Microsoft Office Suite is a plus.
Must be bi-lingual: Spanish
This position is designed to lead into the Executive Director position when the time is right.
Willing to work evenings and weekends for special occasions.
Education & Work Experience
Associate’s degree required.
CAE (Certified Account Executive) certification is preferred.
Experience in or working with Meeting Planning is a plus.
2+ years of administrative experience or account executive experience.
