The Projects Specialist will support the CEO and Senior Governance and Member Engagement Manager with administrative tasks and project oversight. This position is high-energy and fast paced. Intermediate knowledge in basic office software (Word, Excel, PowerPoint, etc.) are required.
AANA is an association of more than 5,000 arthroscopy and sports medicine-focused peers. AANA is leading advancement, driving research and developing cutting-edge education to support our specialty. AANA fosters the development and dissemination of knowledge of arthroscopic surgery and clinical practice to improve upon the diagnosis and treatment of diseases and injuries of the musculo-skeletal system.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Provide support on projects as assigned by the CEO or Senior Manager of Governance and Member Engagement.
Provide pre-planning support as needed for four Board Meetings annually.
Provide support to the Fellowship Committee and Committee on Committees.
Maintain the committee database, including sending committee member notifications and tracking changes as needed.
Maintain all committee descriptions, rosters and terms of service in conjunction with the volunteer leaders.
Manage the Resident Scholarship and Traveling Fellows application process.
Manage the Orthopaedic/Sports Medicine Fellowship Grant process.
Assist with the International Education scholarship process.
Update and maintain the Fellowship Directory and annual certificate mailing.
Oversee the award processing, plaque production, recognition plaques and certificates for volunteer leaders and Annual Meeting awards.
Manage Annual Meeting social event invitations mailings and RSVPs
Distribute quarterly new member packets.
Maintain and update files, databases, records, board and committee materials as needed.
Serve as the primary staff person to schedule conference calls as needed.
Provide excellent customer service via email and phone to AANA volunteers, members and suppliers.
May be called upon to assist with special projects and assume responsibility for the development, administration, and promotion of specific projects, as required
Assemble agenda packets for board and committee meetings and participate in meetings and conference calls as required.
Perform other duties as assigned.
SALARY AND BENEFITS
$40,000 - $45,000 - AANA offers a flexible working environment, competitive salary and benefits and a collegial culture with a staff of 22.
KNOWLEDGE, SKILLS and ABILITIES
Excellent customer service skills.
Strong knowledge of Microsoft Windows environment (Word, Excel and PowerPoint).
Working knowledge of iMis preferred.
Excellent both oral and written communications skills (must provide samples).
Well organized with the ability to multi-task and work within time constraints.
Detailed oriented and efficient.
Experience working with and managing volunteers.
Exceptional organizational, analytical and administrative skills and the ability to take a proactive, self-directed approach to projects and assignments.
Ability to work under pressure.
Ability to interact effectively and to work congenially in a small office environment.
Nonprofit and/or association experience preferred.
Nature of work requires ability to operate standard office equipment. Requires ability to communicate and exchange information, collect, compile and prepare work documents, set-up and maintain work files.
