ABA is seeking a Senior Administrative Assistant who works closely with the Sr. Contracts Manager and attorneys in the Office of the General Counsel as well as ABA staff to support the management of the contracting process for the Association.
This position; (a) is primarily responsible for supporting data entry for the system (CMS) that supports the contract lifecycle –contract request, negotiation, execution and storage; (b) ensures historic data in the database is accurate and meets the established data entry standards; (c) works with the Sr. Contract Manager and attorneys to ensure the Association’s business units understand and utilize the appropriate processes and tools to meet the Association’s contract policy; and (d) supports the Sr. Contracts Manager to develop staff training on the use of the CMS. Additional responsibilities include (a) researching and preparing unclaimed forms for unclaimed property recovery on behalf of the attorneys; (b) responding to all copyright reprint requests; (c) performing back up budget coordinator tasks in support of the Sr. Contracts Manager; (d) inputting/processing invoices; (e) assisting with payment execution (f) drafting amendment agreements for attorney review using CMS creation wizard.(g) compiling legal clauses from attorneys and build the Clause Library in the CMS through data entry and (h) data entry, scanning, and collating copyright registration certificates in database.
Facilitates the contract process workflow. Coordinates between the staff entry of contracts into the CMS and the attorney review process as well as the execution and storage of the contracts.
Performs the data entry process (including such aspects as vendor names, contract type, contract effective dates and expiration dates) and ensures the accuracy of both new and historic information in the system. Maintains existing paper files for the Office of General Counsel.
Facilitates all staff training sessions for the Contract Management System.
Supports Sr. Contract Manager and attorneys with the updating of user manuals and contract procedures to ensure these documents are consistent with the CMS and any implemented changes.
Works with attorneys on new processes and procedures to enhance the efficiency and effectiveness of the CMS.
Researches and prepares claims for Unclaimed Property Recovery for ABA.
Responds to all reprint request and works internally to seek approval or denial of these requests and responds to member banks and non-member institutions in regard to their requests.
Back-up to the Budget Coordinator.
Inputs invoices and assists with execution of payments.
Drafts Amendment Agreements for attorney review.
Oversees Reprint Request Inbox.
Inputs clause through data entry in the CMS Clause Library for the Attorneys.
Data entry, scanning, and collating copyright registration certificates in database.
Minimum of three to five years related work experience in corporate practice and processes including contract management.
High School Diploma/Equivalent
Strong reading comprehension and attention to detail is required.
Experience in a law firm or corporate legal department.
Knowledge of risk management, commercial transactions, payments, and contracts law.
Superior interpersonal and communication skills to allow the individual to interact well with all levels of the organization; demonstrate the ability to quickly comprehend business transactions, problem solve issues as they develop and work on a cooperative basis with internal staff.
Proficient with with Microsoft Word, Adobe, Excel and Novatus/DocuSign (or similar) CMS.
Ability to manage workflow from beginning to end with minimal supervisory oversight.
Ability to establish and maintain cooperative relationships with internal staff.
Ability to establish priorities, work independently and proceed with goals and objectives with minimal amount of supervision.
Strong reading comprehension and detail oriented.
Data input accuracy and consistency.
