We are seeking a highly organized and experienced operations and membership coordinator to join our association. The operations and membership coordinator plays an integral role in organizing a wide range of activities relating to operations and membership management. Responsibilities include coordinating the day-to-day operations of the association with an emphasis on organization, problem-solving, membership database management, and project management. The role requires strong self-direction and the ability to research solutions to problems and follow written guidance to understand procedures and successfully complete required tasks. Coordinator will assist the association in office operations, research and track member prospects in CRM, and coordinate and execute staff and member events.
ESSENTIAL JOB FUNCTIONS:
Provide general operational support to maintain and continually improve our processes and operational efficiencies.
Coordinate and assist with events, conferences and meeting responsibilities.
Coordinate and execute the membership strategy and identify opportunities to market and promote membership.
With the senior manager, handle and assist with all company events, including RSVP tracking; travel arrangements and other logistics.
Research potential member prospects.
Manage and perform updates to the membership CRM website with current information as needed.
Serve as liaison to various association committees.
Assist the senior manager with day to day operations, including information technology and phone management.
Handle and coordinate logistics and timelines of meetings and events with implementation, throughout the year.
Serve as a project manager and staff liaison with outside convention and trade show staff.
Coordinate weekly with senior staff for potential member prospect outreach.
Contribute to creative discussions and decision-making about the future direction of the association’s events.
Draft, format and send member correspondence using CRM website.
Manage subscription tracking and management.

This would require the ability to carry mail and various deliveries (packages, boxes); lift chairs for meeting set ups; carry food deliveries to meeting spaces; lift files, open filing cabinets and bend or stand as necessary.
POSITION TYPE AND EXPECTED WORK HOURS
This is a full-time position. Days and hours of work are Monday through Friday, 9:00 a.m. to 5:00 p.m.
Minimal or as needed.
3-5 years of relevant experience in operations management and/or membership role.
Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel).
Database management experience (CRM) is a plus.
Prior experience with trade shows and event coordination or planning preferred.
Possesses a positive disposition, remains calm under pressure.
Able to effectively prioritize and execute tasks while adapting to shifting priorities and timelines.
Able to make fast and well-reasoned recommendations, anticipate and adapt to evolving needs.
Self-motivated and results-oriented – able to own tasks and navigate roadblocks to produce desired outcome, researching and asking questions when appropriate.
Experienced in project/program management, with an emphasis on business processes.
Big picture thinker, driven to make an impact on the Association.
Excellent collaborator, able to build consensus and eager to contribute to a supportive team environment.
