Job Summary: The Member Experience Coordinator will be responsible for ensuring accurate and efficient day-to-day administrative activities within the Member Experience Department. This includes: providing customer service to all IASLC contacts; processing membership applications, invoices and payment; updating and maintaining the IASLC database; and providing administrative support to the Member Experience team. The position requires an individual who has excellent communications and customer service skills, is extremely detail-oriented, dependable and can manage a variety of ongoing tasks and projects. This position reports to the Associate Director, Member Experience.
Provide premium member service and support for all IASLC members, potential members, meeting attendees and partners throughout the world
Daily correspondence with a variety of stakeholders via email, telephone, internet and direct mailings
Securely process membership applications, invoices and payments
Maintain integrity of IASLC database and payment information
Provide administrative support to the Member Experience Team, Chief Experience Officer, and related departments as needed, including, but not limited to: scheduling, documenting meeting minutes, reporting, arranging travel and preparing for meetings
Provide scheduling and administrative assistance to several IASLC Committees and Staff Liaisons.
Assist in developing strategies as well as preparing and shipping materials for onsite presence at IASLC and partner society meetings
Assist with online and print marketing efforts to acquire, retain and cultivate members, with an emphasis on the international marketplace
Develop and cultivate strong working relationships with key partner society organizations
Domestic and international travel required as needed (up to 10%) to support IASLC or business-related meetings or conferences
Demonstrate commitment to the IASLC core values
Support record maintenance and staff utilization of a new Association Management System (AMS)
Assist in maintaining a vibrant and engaging website with accurate and timely departmental updates
Assist with updates to the IASLC Journal of Thoracic Oncology and newsletter mailing lists
Assist in implementing outreach plans for new areas of membership globally
Promote positive interpersonal relationships with colleagues, members and vendors
Other duties as assigned
A strong commitment to the mission of the IASLC and compassion for those living with a lung cancer diagnosis
Bachelor’s degree or equivalent combination of education and work experience
Demonstrated customer service experience- minimum of 2 years
Extreme attention to detail is required
Proficiency with the Microsoft Office Suite and prior database experience
Ability to build strong working relationships with staff, members, vendors and supporters
Flexibility, cooperative attitude, and ability to work effectively in a team environment
Ability to travel domestically and internationally, as necessary (up to 10%)
Experience with Fonteva or similar association management system (AMS), or CRM/database system
Experience with email marketing software and mailing list management
International work experience or foreign language proficiency
Knowledge, Skills and Abilities:
Highly professional written and verbal communication and listening skills
Ability to plan, prioritize, organize and track the status of multiple ongoing projects independently and effectively
Ability to take initiative and work independently as well as support team efforts
Creativity and initiative in developing processes/systems to streamline operations
Excellent time management skills, including the ability to meet tight deadlines and work under pressure, and adapt to changing priorities
Positive, professional demeanor when interacting with members, employees, and other stakeholders
Deep appreciation and respect for international cultural differences
Ability to coordinate complex schedules and facilitate global meetings through conferencing systems
