ENA is looking for an experienced Meeting Planning professional who is creative, energetic, and passionate about event planning to join our team! The Meeting Planner responsibilities include lead planning and logistics for key ENA meetings such as State and Chapter Leaders Orientation (SCLO), Day on the Hill (DOTH) and Regional Meetings. Also responsible for assisting with planning and logistics for the Annual Conference. Frequent travel is required.
Position responsibilities include:
Provides planning and logistics for SCLO and DOTH with additional support provided as needed for the Annual Conference and Regional Meetings including, but not limited to food/beverage, audio visual, hotel arrangements, and travel coordination.
Assist the Meetings Manager in coordinating specs, BEO’s, staff resource material and other meeting-related preparations as needed for Annual Conference, Convention Center and HQ Hotel.
Provides support to Executive Office for all VIP related requirements for the Annual Conference, SCLO, DOTH, and Regional Meetings.
Provides support to Meetings Operations Manager who oversees housing blocks and maintains contact with the official housing company for the Annual Conference.
Provides support for meeting budget preparation and tracking reports.
Processes approved invoices related to meeting expenses. Maintains records, files, and related tracking systems for the respective meetings.
On-Site Event Support for all ENA meetings and events.
Contributes to the workplace culture that is consistent with the association’s culture statement and emphasizes the mission, vision, and values of the organization.
Displays a high level of accountability, taking responsibility for individual actions and the impact on the organization. Views oneself as a reflection of the organization by following through on commitments and accepting ownership.
Performs additional related duties as required or assigned
The ideal candidate will have the following requirements and demonstrated experience:
Bachelor’s degree in Business or related field preferred
Minimum of 5 years’ experience with meeting logistics and support
Program and Project management experience
Certified Meeting Professional (CMP) designation preferred or working towards certification
Knowledge, Skills, and Abilities
Excellent organizational and analytical skills, including the ability to troubleshoot; ability to work under pressure with short deadlines
Excellent collaborative communication and interpersonal skills, with a demonstrated commitment to customer service
Detail-oriented; ability to follow instructions and to ask questions for clarification
Team-oriented and ability to work independently
Ability to prioritize multiple and varied tasks within established deadlines, with minimal supervision
Computer proficiency in Microsoft Suite of Products
Ability to interface with staff and external relationships in a professional manner
