Who we are looking for:
We are looking for a high performing Meetings Assistant with at least one year of administrative experience to join our Meetings Services department. The selected candidate will provide administrative and departmental support for Conference Center and Annual Meeting Logistics.
What you will do:
Provide administrative support to the Senior Program Manager, International Meeting and Conference Center and Associate Director, Annual Meeting and International Meeting
Serve as staff contact for meetings hosted in the ASCO Conference Center and provide ongoing support to include assisting with logistical arrangements such as function sheets, catering, housing accommodations, travel, venue set up, audio visual needs, vendor coordination, meeting room calendar coordination, and working at the Conference Center concierge desk
Provide ongoing support for Annual Meeting Logistics team to include assisting with logistical arrangements such as function sheet review, updating timelines, maintaining the AM101 document, and other details
Code and track invoices for the Conference Center and Annual Meeting
Maintain processes and procedures for the Conference Center and Annual Meeting
Provide superior customer service to both internal and external customers both in person, in email and by phone, including answering the Meetings’ customer service phone line
What you will need in order to be successful:
Proficiency with Microsoft Office applications and comfortable learning new technology
Excellent organizational skills with the ability to multi-task and manage own time, priorities, and resources to achieve goals
Strong analytical and problem-solving skills
Superior interpersonal and communication skills; including oral, written, and listening
Commitment to work within a team to meet timelines and deliverables with a focus on customer service
Ability to work early mornings and occasional late evenings
Ideal candidates will also contribute:
Strong interest in the meetings/events industry
Prior experience working in fast-paced environments with a sense of urgency
