The Manager, Education and Meetings provides primary staff support in the overall planning, implementation and evaluation of the Society’s specialty live meetings working in collaboration with the Assistant Director, Education and Meetings. S/he provides meeting logistical, marketing, and faculty management support as needed for SSO’s specialty meetings which currently include the SSO Advanced Cancer Therapies, SSO Fellows Institute, SSO CGSO Board Exam Review Course, and the International Sentinel Node Society meeting in 2020. In addition, provides programmatic management to the SSO Scientific Program Committee in the overall planning, implementation and evaluation of the Society’s International Conference on Surgical Cancer Care. In this role, the manager is expected to work to automate many of the processes involved in the management of these programs and to develop or streamline the policies and procedures needed for their effective management and best practice implementation.
Specialty Live Meetings
Works collaboratively with the Assistant Director, Education and Meetings to implement the SSO’s live specialty meetings. Specific responsibilities include:
Handling programmatic planning and management components relative to the preparation of each meeting, including document preparation, work plan development, faculty budget development, etc.
Serving as the primary liaison for faculty, moderators, and/or abstract presenters; manage communications and speaker logistics leading up to, during, and after the event. This includes working in conjunction with SSO vendors on AV information, faculty travel, the setup and management of audience response systems, etc.
Managing the program committees, including rosters, meeting schedules, creation of agendas, minutes, etc., for conference calls and in-person meetings.
Managing meeting logistics, which may include working directly with the venues/vendors and/or SSO staff on food and beverage, AV, housing, travel, registration, table-top exhibits, risk management, onsite management, etc.
Assisting with site and vendor selection as needed, including management of the RFP process.
Managing abstract submission and review processes, including preparation of necessary reports.
Managing the assembly of copy for the preliminary and final programs, as well as population of mobile app content. Supporting marketing strategies as appropriate.
Assisting in the procurement of grant funding, including submitting funding and/or equipment requests to online portals as needed. This does not include grant writing. Managing sponsorship fulfillment as needed for each event.
Coordinating evaluation and meeting analysis as needed for each event.
Interacting with related organizations, consultants and other SSO staff/leadership as appropriate on all aspects of the live meetings.
Answering event questions and general inquiries via the event inboxes, as well as telephone calls.
SSO 2020 International Conference on Surgical Cancer Care
Works collaboratively with the Assistant Director, Education and Meetings and larger SSO team to implement the International Conference on Surgical Cancer Care. Specific responsibilities include:
Assists the Assistant Director, Education and Meetings in liaison duties for the Scientific Program Committee. Shares responsibility for the overall management of the meeting’s scientific program.
Manage and execute the start-up processes and work plan development for the scientific program. Startup processes will include document preparation, work plan development, etc.
Handles all programmatic planning and management components relative to preparation of the meeting.
Manages logistics pertaining to the awards and recognition programs in conjunction with the International Conference on Surgical Cancer Care; communicates logistical details and arrangements with all specially-invited lecturers (ACS Basic Science Lecture, John Wayne Clinical Research Lecture, James Ewing Lecture). Oversees all abstract award processes.
Provides oversight and supports the efforts of the Scientific Program Committee in the planning and implementation for all pre-meeting courses offered in conjunction with the meeting.
Oversees assembly of all copy for the preliminary and final programs conducted by Education Coordinator.
Provides oversight of the scientific and poster sessions on-site.
Provides oversight of all aspects of the abstract submission process including “call for abstracts” review and evaluation of submission process, grading of abstracts, issuing necessary reports and final output of data as executed by the Education Coordinator.
Manages implementation of the program information in the meeting mobile application.
Acts as the primary liaison to Freeman AV, our AV partner, as it relates to programming.
Performing other job-related duties as assigned.

A Bachelor’s degree or equivalent.
A minimum of 5 years of event management experience, medical or health care association management preferred.
Excellent organizational, analytical, and project management skills. Ability to work independently, accurately and productively with administrative tools and equipment. Attention to detail is critical.
Excellent interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
A professional presence and well-rounded knowledge of health care and organized medicine is helpful.
Highly organized with strong computer skills, including Microsoft Office programs.
Willingness to travel to domestic meetings to manage meetings as assigned.
