Reporting directly to the SVP of Finance and Administration the Staff Account and Office Assistant (the Accountant) will provide support to the accounting and administrative functions of the office. The Accountant will be responsible for general accounting functions, assist with year-end filings, General Office management, Event support (which will require travel) and assist with Database management.
This is a hands-on position in a growing sector of the housing industry. If you like to get involved and stay involved this is the right position for you.
Specific Duties and Responsibilities
Update check logs and enter daily deposits to the accounting system
Generate manual invoices as defined by established department procedures
Reconcile cash receipts per bank statements
Process accounts payable invoices
Review and accurately code all invoices before check run process
Audit staff reimbursements for accuracy and compliance with organization guidelines
Produce weekly check run through Sage50
Maintain accounting files
Produce Year-end tax filings for 1099/1096
General Ledger and Other Finance
Maintain balance sheet reconciliation as needed and as assigned
Prepare journal entries through AP module in Sage50
Assist with the month-end (financials statement) close
Assist with the year-end audit as assigned
General Office Management
Point person for property manager and office related issues
Manage the office supply levels, (order and receive supplies)
Receive and distribute incoming mail
Receive vendor deliveries
Maintain postage and copy machines
Assist with mailing publication orders received via website
Monitor the general voice mailbox for MHI
Assist off-site staff with office needs: mail, scan, fax, etc.
Responsible for the general upkeep of the common office space
Support the Executive staff on an as-needed basis
Assist with meeting material preparation, organization and shipping
Produce Business Meeting registration booklets (i.e. copy and bind materials)
Travel with staff to events to support the on-site registration function
Assist at the events as needed in all areas of the meeting (general administrative and operating levels)
Assist with raffle sales for the annual meeting
Cross train in Database management to support the Database Manager
Accurately input new or modify existing member or vendor demographic information in NetForum
Process credit card, wire and check receipts for exhibit booths and membership in NetForum
Process credit card refunds per staff or member request and direction of the SVP of Finance
Travel will be required up to 5 times yearly to provide support where needed at all meetings and events (Power Point presentations, on-site registration, raffle support, etc.). Requisite Experience and Desirable Characteristics
College degree required with degree in Finance/Accounting or related preferred
Accounting experience required
Exposure to database management functions (NetForum preferred)
Ability to organize, manage time and prioritize workload
Solid PC skills and knowledge in MS Office (Excel and Word required, PowerPoint a plus)
The ideal candidate for the position should have experience in the association or nonprofit sector and must have knowledge of MS Office Suite and experience with accounting software (Sage 50 preferred) and database management (NetForum preferred).
