The Sr. Governance Coordinator will work directly with senior leaders of the Society, Foundation, and related organizations.
Works with the Senior Compliance Manager with the ASPS/PSF committee appointments and meetings process. Administers the committee application, selection and confirmation processes for all ASPS and PSF committees. Responsible for developing the schedule of ASPS/PSF committee meetings held in conjunction with Board of Directors meetings and effectively communicating with staff and members. Provides project support for the Member Discipline process.
Provides administrative support to the Senior Compliance Manager related to Governance and Nominations Committees activities.
Assists with Board Policy administration – ensuring all Board and Executive Committee policies, procedures, guidelines, and action items are recorded, disseminated for follow up, and updated in appropriate policy and procedure electronic files. Assists with managing the appointment of ASPS or PSF representatives to outside organizations.
Provides administrative support to the Executive Assistant to the EVP in administering the Presidents’ travel schedule, presidential line meetings scheduled during the Annual Meeting, and scheduling and populating meetings (Outlook, Zoom, calendar on Committee Site).
Occasional travel and evening conference calls may be required.
Serves as an administrative liaison for governance and compliance activities.
ASPS/PSF Committee Meetings and Appointments
Administers the annual committee appointment process including administration of the online application and coordination with Business Technology, Staff Liaisons, Staff Vice Presidents, Board Vice Presidents and Presidents-Elect..
Develops the Spring Board and Committee Meetings and PSTM Board and Committee Meetings schedule and coordinates with staff liaisons and meetings staff. Corresponds with members and manages RSVP’s for committee meetings and other events.
Assists with developing curriculum and content for Staff Liaison Training to include quarterly refresher training on policy and procedures, use of standard technology (Aptify, Committee Site), and best practices.
Assists with vetting qualifications of candidates applying to serve on the Nominating Committee.
Researches and produces committee service reports and other documentation related to candidates slated by the Nominating Committee.
Responsible for tracking, updating, and maintaining Board policies, procedures, guidelines and action items.
Maintains and updates records of outside organization appointments.
Member Discipline / Ethics
Assists with managing the intake, tracking, investigation, hearing and appellate process of complaints submitted to the Ethics Committee.
Prepares templated correspondence as directed for review to members and complainants on “preemptive” matters that can be resolved without investigation.
Guides members through steps to file a complaint and the process and timelines involved in Ethics Committee investigations.
Responds to member questions on use of the ASPS Symbol of Excellence. Reviews material submitted to address violations and false membership claims by non-member surgeons.
Assists with preparation for Judicial Council and Trustees Hearings.
Assists the Executive Assistant to the EVP with managing the scheduling and calendar for ASPS and PSF Presidents and Presidents-elect, including Annual Meeting calendar.
Assists the Executive Assistant to the EVP with managing the Presidential/Officer meeting and travel requirements including, but not limited to, booking of hotel reservations, scheduling meetings and updates, creating traveler’s itinerary, obtaining meeting agenda/program and associated tasks; coordinating with members’ office staff as well as external organizations.
Other duties as assigned.
Education: Bachelor’s Degree preferred
Experience and Essential Skills:
4+ years of related work experience, preferably in a 501(c)3 or 501(c)6 organization
Self-motivated, professional, and capable of managing work load while prioritizing changing demands in a fast-paced environment.
Excellent writing, spelling, grammar and proofreading skills.
Exceptional organizational and communication skills, and attention to detail.
Advanced Microsoft Office skills (Word, Outlook, PowerPoint, Excel) and ability to become familiar with Society-specific programs and software (ex: Aptify, Zoom web conferencing)
