Coordinator, Meetings Services and Special Events
Provides logistical support and coordination for Committee meetings at AAN Headquarters. Provides support for Special Events and Food/Beverage for Annual Meeting.
AAN/AANI Committee Meetings
Logistical support to include, but not limited to: room set-up requirements, event orders, catering, guarantees, audio visual, rooming lists, dinner arrangements, transportation, tracking contract obligations, establishing master accounts and new vendors and invoice reconciliation.
Manage multiple deadlines to ensure logistics are communicated to vendors and facility management in a timely manner.
Track contract obligations to meet room block requirements and food/beverage minimums.
Prepare and distribute meeting logistic details to staff liaison prior to meeting.
Evaluate operation policies and procedures to ensure superior customer service is being provided.
Build relationships with key staff planning meetings to identify and resolve business issues to provide excellent customer and end user experience.
Create and maintain monthly room set schedule for meetings ensuring accurate room sets
Utilize SharePoint Meeting Site.
RSVP coordination and tracking for Special Events.
Assist with food and beverage needs.
Maintain External Association Calendar to identify potential AAN meeting date conflicts.
Serve as Meeting Services SharePoint Coordinator for Meeting Services, including attending owner group meetings and supporting Meeting Services to reduce and resolve issues related to SharePoint.
Department Requisitions Coordinator.
Provide support for various division projects on an ongoing basis as determined and requested by Sr. Manager, Meetings Services and Special Events.
Education: Associates degree or equivalent work experience
