The International Society for Stem Cell Research (ISSCR) seeks a Meetings Coordinator to implement data and customer service functions key to the operation of scientific meetings, including management of the abstract submission and presentation processes for the annual meeting, and customer service and administrative support for sponsors and exhibitors for 3-4 meetings per year. The position supports the global meetings department and reports to the Director of Global Events.
The ISSCR is an international non-profit scientific organization, with members around the world doing groundbreaking research in the dynamic area of stem cell research and its translation to medicine. Members from leading academic institutions, the biomedical industry, and healthcare, share the latest advances in stem cell science at the ISSCR’s annual meeting, the world’s largest meeting dedicated to stem cell science. More topic-focused international symposia are also held throughout the year to highlight current trends and particular research areas. The ISSCR leads the field with international guidelines for responsible, ethical research, a vibrant scientific journal, rigorous scientific programming, and outreach to the public and policy makers about the potential for stem cell science to transform human health.
Essential Duties and Responsibilities:
Implement the online abstract submission system for the ISSCR annual meeting, including all customer service assistance for abstract submitters
Organize 3 poster sessions with more than 1,500 posters for the annual meeting including pre-meeting poster presenter correspondence, reporting and on-site coordination
Facilitate the travel awards program and the poster awards program for the annual meeting
Update and maintain the events management software specific to exhibits and sponsorships
Enter data and facilitate reporting through abstract and meetings management software
Update information on the annual and regional meeting websites
Coordinate exhibit booth assignments for all scientific meetings
Provide customer service to exhibitors and sponsors
Skills and qualifications needed:
Minimum 5 years’ experience in an association/non-profit or similar working environment
Experience working in a customer service support position
Ability to manage multiple tasks concurrently
Competency in MS Office and Office 365, with special focus on Excel
Proficiency in event management software platforms and not for profit databases including data entry and reporting functions
Detail-oriented and ability to meet project timelines/deadlines
Strong organizational skills
Excellent communication skills
Availability for annual international travel
Experience with iMIS, Aventri and CadmiumCD products a plus
Experience with medical or scientific society a plus
