Reports to the Associate Executive Director/COO and serves as the Institute’s representative in the execution of all matters of logistics, strategy and experience for ITE meetings.
Essential Duties and Responsibilities:
Leads, manages, and has directs oversight of all logistics and planning for the Institute’s Conferences (Annual Meeting, NRITS) and other meetings as determined. This would also include all Board and Committee meetings (for both ITE and the Transportation Professional Certification Board) in addition to all other on site meetings for the staff.
Must constantly be looking for ways to improve efficiencies with the operation of the meetings and look for ways to enhance members’ experiences.
Oversees all orders for event accommodations, technical programs, and social activities, to include F&B, audio visual, DMCs, ground transportation, security, Internet and electrical.
Develops and monitors meeting budgets.
Negotiates (with Executive Director and COO input) all necessary meeting contracts. (Candidate must have excellent skills in this area.)
Manages room block and serves as primary point of contact between hotel/convention center and ITE.
Primary point of contact with all outside vendors, including Destination Management Companies (DMCs) and ground transportation companies.
Assists in the development of meeting marketing and promotional materials.
Serves as team lead for ITE meeting staff.
Acts as advisor to the Institute’s Districts and Sections on local meeting contract review.
Schedules all events for the meetings’ educational program – technical sessions, seminars, and workshops – and meeting-associated social events.
Develops, in consultation with the Executive Director, new educational program content and initiatives.
Oversees daily operations and implementation of meetings’ professional development and education program logistical needs.
Strategically targets future meeting sites and contracts to align with industry need and demand.
Develops and maintains annual schedule of meeting locations.
Education: 4 year degree preferred
Experience: 5-10 years at the meeting planning level
Knowledge, Skills and Abilities: Excellent verbal and written communication skills; experience with leading contract negotiations; computer skills at an advanced level of Microsoft Office; detail-oriented and highly organized multi-tasker. Ability to travel as required.
