We are seeking a dynamic Membership Database and Department Manager to join our leadership team.
This is an exceptional opportunity for an individual who wishes to build upon their international business expertise. This position holds direct responsibility for all database and operational processes related to district, club and individual membership services. The manager also works with Zonta International Board members, committees and district leaders to encourage growth in overall membership numbers and enhance the membership experience.
We have a highly customized membership database and need a leader who is comfortable working hands-on with the database and can manage our external iMIS support partners. They must also be accurately aware of the interconnectedness of technology platforms across an organization and support IT initiatives. The role supervises and guides three full time staff; works closely with the accounting, communications, and foundation development departments and manages the department budgets for personnel and resources. This position reports directly to the Executive Director.
Serves as membership database administrator for Zonta’s Association Management System (AMS), responsible for setting policies (in consultation with the Executive Director and management team) for membership database quality control; continuously monitors and ensures data integrity; and maintains membership database manual.
Ensures the development and implementation of data entry standards; conduct periodic reviews to identify errors and inconsistencies; take corrective action as necessary.
Enhances the efficiency and effectiveness of member database applications by consulting with users and assisting with the development of solutions, queries, reports, forms, etc.
Schedules and approves all member database maintenance and database software purchases and invoices, in consultation with the Executive Director and IT services as needed.
Performs/supervises routine maintenance operations and running approved database utilities.
Functions as lead staff in member database software evaluation. Works to improve the organization’s membership data processing capabilities by assisting with identification and testing of relevant new products and applications.
Manages the website pages and user dashboards driven by the database platform.
Member Records and Services
Responsible for maintenance of accurate club and individual member records.
Manages dues billing, dues processing and fees while interacting with multiple methods of payments and transactions across diverse currencies.
Provides all required membership reports for the board, district membership committees, student club committee chairs, and management staff.
Oversee the accurate reporting of membership dues information to Accounting Department on a timely basis.
Initiates data analysis helpful to membership development and responds to requests for statistical membership reports.
Handles membership related correspondence and oversees the accuracy and quality of routine club correspondence handled by department staff.
Ensures that all Membership forms and publications are up to date in print and on the website.
Provides documentation, reports, and support for convention credentialing process.
Develops service minded department staff.
Implement membership strategy developed by International Membership Committee.
Encourage membership growth and retention by regular recognition of members through website, e-newsletter, personal communication and other means.
Oversees special programs for length of membership, recruitment incentives, etc.
Work with Communications Department to develop/showcase member materials.
Encourage the growth of new clubs working with all prospective clubs who are in the formation process and manage chartering process.
Proven supervisory/team leadership skills and a minimum of 4-5 years supervisory experience.
Minimum 5 years of successful experience in database management, preferably in a non-profit membership environment.
Experience with a sophisticated membership database system required; iMIS and iMIS Rise experience preferred. Familiarity with website management, Raiser’s Edge and API’s helpful.
Demonstrated knowledge of MS Office Suite, and familiarity of Crystal Reports (or similar report writer), and Microsoft Sequel Server.
Budget management and cash receipts management experience helpful.

Must be an adaptable team player willing to work in a small staff environment in which all staff handle multiple functions and do what is necessary to get the job done.
Demonstrated inter-cultural experience and sensitivity.
Bachelor’s degree required. A degree in business or international studies preferred.
