WANTED: An energetic go-getter ready to take charge of a variety of office operations and to support a fast-paced work environment. Must be an organized and detail-oriented problem-solver with a make-it-happen attitude. We are looking for a friendly Office Coordinator enthusiastic about creating an engaging and welcoming work environment.
Coordinates a variety of office operations for successful everyday functioning as it relates to reception, office goods, building management, company events, HR support, and Employee Experience.
A DAY IN THE LIFE WILL INCLUDE:
Ensures optimal budget of office supplies and inventory, directing cost reduction initiatives.
Responsible for Reception duties including answering phones, and greeting guests; maintain conference room calendars, handle miscellaneous employee requests.
Maintains the inventories of office supplies and related expendables and office phone list; directs office order and cleanliness.
Responsible for security (badge management, locking-up, fitness center waiver access).
Acts as liaison with building management, maintenance, vendor, etc., handles all deliveries and maintains postage with client codes.
Coordinates phone system setup and changes.
Oversees pre-hire new employee set up, office orientations, and Fed Ex/equipment usage.
Manages annual/semiannual community service activities and monthly culture events.
Collaborates with IT and HR on New Hires and employee seating as well as general office layout.
Schedules staff meetings, client meetings and other misc. company events.
Oversees distribution of incoming USPS Mail.
Set up quarterly birthday lunches and birthday cards.
Executes FedEx monthly reports and coding and billing expense reports.
Handles gifts/sympathy/Get Well arrangements and orders.
Maintains conference room schedules, preparing meetings, conferences, events and conference calls as needed.
Contributes to Employee Experience team and HR department.
Serve on the Fun committee and coordinate various internal activities.
Other duties as assigned.
DO YOU HAVE WHAT IT TAKES?
Associate's degree (A. A.) or equivalent from two-year college or technical school; Bachelor's Degree a plus.
Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public;
Friendly customer service and a helpful disposition as one of the main faces of Virtual Inc.
Ability to maintain confidentiality.
Upholds organizational values.
Detail-oriented, with effective organizational, problem-solving and time-management skills, including the ability to manage multiple tasks and deadlines simultaneously in a fast-paced, deadline-driven environment;
Must be a self-starter, with the ability to work independently with limited supervision, as a team member, and under pressure;
Excellent communication skills, both written and oral;
Must be comfortable in a collaborative large company environment and demonstrate a "rolled up sleeves" working style;
Strong computer skills, especially MS Office.
