Provides professional administrative support to the senior staff of FSBPT (CEO, COO, CFO & VP). Also provides Board support for FSBPT, FCCPT, King West, INPTRA and LCASO. This position also develops documents necessary for the Delegate Assembly, acts as staff liaison to the FSBPT and CBA Nominating Committees, the Resolutions Committee and the Excellence in Regulation Committee. Acts as main point of contact with the jurisdictions regarding the NPTE Agreements.
Provides general administrative support to the senior staff to include assisting the FCCPT Managing Director and INPTRA Board of Directors with manuals, correspondence and reports as needed.
Assists with calendar management and travel arrangements for senior staff as needed.
Represents the senior staff to a wide range of people and organizations; demonstrates the highest degree of professionalism and positively portrays the organization and the senior staff at all times.
Provides support for all meetings that involve the senior staff. Including interfacing with information systems and meeting planning for all meeting logistics.
Supports the Resolutions Committee which includes scheduling and supporting teleconferences, preparing agendas and minutes, and the in-person meeting at the annual meeting. Also, setting up the Delegate Workshop, scheduling additional meetings with delegates, finalizing motion amendments or new motions for the delegate assembly.
Support the Nominating Committee which includes scheduling and supporting teleconferences, preparing agendas and minutes and supporting the in-person meeting at the annual meeting, specifically the Candidate Forum.
Supports FSBPT and FCCPT Boards of Directors by developing and finalizing meeting agendas, attachments, minutes, board liaison letters, and annual board schedules.
Works with senior staff and Board President to ensure FSBPT/FCCPT/INPTRA reports, agendas, meeting notices, Board books, notices of bylaw changes, annual meeting schedule, minutes, etc. are produced and distributed as required; stays current on Board policies and procedures; assists CFO in maintaining and updating FSBPT’s official documents; maintains the Board electronic library.
Keeps senior staff informed about Board member activities, requests, and problems.
Attends committee meetings as requested; serves as a resource for Directors and senior staff; follows-up on areas developed during these meetings as needed.
Maintains Board of Directors and committee job descriptions.
Maintains Membership Database.
Schedules dates & leadership rotation /sends invites for Leadership Team business meetings and All Staff meetings.
Develops surveys for various staff members and committees and provides reports of their results.

Strong administrative skills, proficient with word processing and spreadsheets (Windows, Microsoft Word, Excel), and some database background.
Full understanding and fluency in electronic mail and the Internet, including ability to conduct quick searches as requested.
Excellent communicator, including writing, speaking, editing, and proofreading with great attention to detail.
Knowledge and understanding of HTML, database software management, emails, and broadcast email software.
Outstanding customer service skills.
Ability to work independently with enough self-initiative and confidence to start and complete tasks without waiting to be asked.
