The Society of Nuclear Medicine and Molecular Imaging is seeking a detailed-oriented professional who exhibits intuitive judgement and knowledge, is capable of multi-tasking, and is able to maintain effective working relationships. The Executive Assistant position is responsible for managing the CEO's office and all administrative items associated with the general governance programs.
Essential Duties and Responsibilities:
Manages the CEO's office, including overseeing/managing special projects through the project's lifecycle.
Maintains CEO calendar.
Coordinates and manages travel arrangements for CEO and Leadership, including rental car/flight/hotel reservations and prepares itinerary file prior to travel.
Attends SNMMI-TS Executive Board and SNMMI-TS National Council of Representatives, SNMMI Board of Directors and SNMMI House of Delegates meetings. Works with Management staff on logistics and on-site administrative tasks during the meetings.
Manages the SNMMI Board of Directors and House of Delegates including: agenda development, communication notices, meeting logistics, collecting information from staff, minutes, and resolution follow-up.
Develops the SNMMI and SNMMI-TS Leadership schedules for various meetings. Helps to develop agendas for the meetings.
Coordinates and schedules conference calls for the Senior Director and CEO.
Performs general administrative duties such as maintaining filing system, distributing mail, copying, shipping and processing forms. Coordinates invoices and payment requires for the Department. Orders supplies.
Bachelors Degree and/or a minimum of five years experience of high level executive administrative experience.
Must possess strong organizational skills.
Proficient with Microsoft Office (Outlook, Word, Excel and Powerpoint). WebEx experience a plus.
Ability to work in a fast-paced environment.
Experience in managing a filing system, track incoming and outgoing correspondence and coordinate the flow of paperwork and email.
Ability to handle confidential work with discretion.
Position requires travel at least two times a year (Mid-Winter and Annual Meetings) as well as local travel a couple of times a year.
