What this job is about:
The Conference and Event Manager is responsible for managing the planning, logistics, and delivery of AAIM’s two national annual conferences which generate over 35% of AAIM’s total annual revenue. These conferences attract more than 3,000 participants annually. Other key responsibilities include developing and managing requests for proposals, serving as a liaison between meeting venues and AAIM staff, contract review, and on-site logistics management.
Manages pre-meeting preparation and onsite logistics for venue-based activities (food and beverage selection, audio-visual equipment rental, meeting room assignment, hotel room blocks) for the national AAIM conferences.
Works with AAIM staff to develop conference and meeting schedules.
Communicates with key vendors such as hotels and convention centers to develop and offer successful events to ensure positive attendee experiences.
Manages meeting evaluation results.
Initiatives and manages the request for proposals process and negotiates contracts for future meeting venues.
Supervises two specialist level meetings staff
What is required for this job:
Minimum six years of meeting planning experience preferably in an association or non-profit environment.
College degree required.
Experience with contracting and managing vendors.
Foster and build relationships within all levels of the organization.
Organized, self-directed, detail and deadline oriented.
Adapt quickly to new information, requirements, and priorities.
Exceptional written and oral communication skills
CMP certification a plus.
Ability to travel up to three weeks per year to staff meetings and conferences.
Ability to traverse large venues to provide onsite logistical support.
Prior supervisory experience required.
Intermediate proficiency using MS Office required. General association membership database experience a plus.
