Association Management division within a marketing company in Plano, TX seeks a full-time Senior Association Manager - Meetings. This individual will be a self-starter who will manage the planning and execution of logistical aspects for at least 2 major national co-located tradeshows, 3 regional events, 1 education conference and 3 Board meetings a year; and support various committees as needed. Association experience and excellent computer skills are necessary.
Primary duties and responsibilities:
Plan, execute and manage all aspects of conferences and conventions including space planning, food and beverage, AV, room blocks, timelines, temps, security, staff scheduling, registration, attendee communications etc. with vendors and support staff.
Communicate regular updates within the department, across staff teams, and to external vendors via project plans, timelines and to-do lists.
Manage individual event budgets with focus on keeping under budget and reducing costs
Copywriting and proofreading for event materials including website, signage, conference guide and email newsletters.
Lead various committees in actualizing goals of the Strategic Plan regarding meetings and events.
Work with Creative team to create and deploy conference programming in partnership with appropriate committees.
Manage post-event invoices and billing.
Develop and attain sponsorship packages for all events.
Travel for conventions, events and site visits including some evenings and weekends.
SKILLS AND TRAITS:
Demonstrated proficiency with MS Suite, PowerPoint.
The ideal candidate will have a minimum of 5 years meetings/conference experience, preferably for a trade association, association management firm, or in the hospitality industry.
Must be results-oriented and customer-focused, possessing a high level of initiative, independent judgment and communication.
Ability to lead collaborative projects in a fast-paced environment while managing multiple priorities simultaneously; strong attention to detail, time management and organizational skills are a must.
