The Industrial Designers Society of America (IDSA), one of the oldest and largest associations for industrial designers, has an opening for a team-oriented, energetic Event Coordinator.
IDSA is revolutionizing the way it thinks about and plans its conferences. As our event coordinator, you’ll be on the ground floor of this change and have the ability to shape the way we serve our community.
The conference department will be a team consisting of the Event Coordinator and the Director of Conferences and Events. In addition to support functions, you will be directly responsible for logistics of our Annual Conference, Education Symposium, 5 regional conferences, niche conferences and Board meetings, to include:
Partner with volunteer committee members on planning and execution: participate in calls/strategy sessions and record action items.
Serve as first point of contact for the department and assist registrants and other stakeholders by phone/email as needed.
Organize call for speakers/education papers: collect bios, headshots and session descriptions; work with the webmaster to ensure all information is posted timely and accurately.
Research potential sites and venues; consolidates information for review by the Director. Solicits vendors as needed (security, temporary staffing, shuttle services, etc.).
Serve as point of contact for Board meetings; book hotel accommodations and coordinates special events; review BEOs as appropriate.
Coordinate all shipments for the department.
Prepare badges, run registration reports, and code invoices for processing.
Assist with sponsorship and exhibit fulfilment as needed.
Travel as needed to assist with managing onsite logistics
Skills & Abilities
Must be a team player with the ability to exchanges ideas in an open setting.
Superb attention to detail.
Excellent time management and prioritization skills; ability to manage multiple assignments simultaneously under tight deadlines.
Proficiency with AMS databases, web content uploading or registration software.
Proficiency with Microsoft Office Suite (Outlook, PowerPoint, Excel, Word).
Willingness to reprioritize tasks and shift gears quickly.
Ability to work evenings and weekends during peak periods or as business requirements demand.
Education & Experience
Bachelors degree in any field preferred.
2-4 years of experience working in an association conference department supporting. events with 25-500 attendees; exhibits a strong desire to learn and grow. professionally.
Interest in design, arts or other creative fields helpful.
Event messaging, copy writing and social media experience preferred.
