Construction industry trade association (SMACNA) in Chantilly, VA seeks administrative assistant for its Technical Resources Department and Testing & Research Institute.
Provide administrative support for engineering staff/project managers in an efficient and timely manner. Duties include writing letters, correspondence memos, forms and e-mails for distribution.
Process/screening and direct phone calls to engineering staff/project managers, liaison to other SMACNA departments, assist to organize and schedule appointments, assist in the preparation/distribution of regularly scheduled Task Force & Committee reports and workbooks.
Develop and maintain appropriate filing system, update and maintain department policies and procedures. Assist in the publication of technical standards, guidelines and manuals that may include producing documents/tables, spreadsheets and editing of PDF’s.
Process and organize incoming Technical Inquiries and outgoing responses primarily by e-mail, phone and administer Technical Inquiries database, produce statistical reports quarterly and as needed.
Act as point of contact for internal/external clients and general support to visitors.
Perform other duties as assigned by the Executive Director Technical Resources.
Excellent administrative, organizational, communication and computer skills. Proficiency in MS Office (Outlook, Word, Excel and PowerPoint) and Cloud applications.
Knowledge of general office management systems and procedures.
Excellent time management skills and the ability to organize and prioritize work.
Attention to detail, problem solving, excellent written and verbal communication skills.
Minimum Associate Degree and/or 2 years work experience desirable.
