The American Retirement Association is based in Arlington, Virginia within a fresh, energetic working environment in The Nature Conservancy building, directly across from the Ballston Metro Station. This position provides administrative support to the Chief Executive Officer and serves as a discreet and confidential assistant. The position also provides administrative support to the Government Affairs department as needed.
Primary Job Responsibilities:
Serves as CEO's main point of office contact, relieving CEO of administrative functions. May be required to take on interdepartmental project management duties;
Manages and maintains accurate calendar of meetings, events and conference calls, and coordinates travel arrangements for a busy executive, composing correspondence, scheduling appointments, and meetings planning;
Prepares communications, presentations, reports, and financial documents; prepares and files some governmental reporting forms; and provides administrative support to the Government Affairs department as needed based on legislative activity;
Proactively addresses issues as they arise, when the executive is traveling, in meetings or otherwise engaged, using good problem-solving and decision-making skills. May require coordination with other team members and/or cross-functional resources;
Contacts or responds to members and other external contacts at all levels inside or outside the association in a highly collaborative and professional manner. May involve unique situations where each contact must be handled differently, using judgment and discretion; and
Sets up and maintains database and files of important/confidential matters.
Qualified Candidates Will Have:
Bachelor's degree from an accredited institution (or the equivalent work experience);
At least four years of executive administrative experience, preferably having served a C-level executive;
Ability to think critically, make decisions and work independently, work accurately, with attention to detail, while balancing the need to work within the "big picture";
Capacity to exercise discretion and confidentiality with sensitive information, while communicating with superior tact and professionalism;
Superior written and verbal skills, with strong command of the English language, including the ability to confidently assess communication needs of team members and clients, and the ability to implement communication methodology to meet those needs;
Strong multi-tasking skills with a comfort in maintaining multiple, often conflicting, priorities;
Effective project management, planning, organization and research skills;
60+ WPM typing, with strong familiarity with internet, and proven experience with Microsoft Office Suite, with emphasis on Word, Outlook, PowerPoint and Excel; and
Experience in Association Management System preferred.
