Position Overview: The Coordinator of Member Support assists the Association of Fraternity/Sorority Advisors (AFA) and Association of Fraternal Leadership & Values (AFLV) by coordinating backend operations that drive organizational membership/subscribership and event registration/engagement. Additionally, this position would provide basic accounting support to AFA, AFLV, and to the Center for Fraternal Excellence (CFE).
The ideal candidate is able to flourish in a fast-paced, ever changing environment. They must show the ability to be nimble in working with members and fellow team members, exercising strong conceptual, analytical, and critical thinking skills. Individuals who will be successful in this position will provide exceptional customer service to every level of the organization. Ability to prioritize projects and handle multiple tasks, with little day-to-day supervision, is also a required skillset.
Serve as the organizational operator for AFLV and AFA, providing front-line customer service support and redirection to other departments/employees.
Perform others duties that may be assigned.
Database & Event Registration Management
Create and manage the registration process of new and returning members/subscribers.
Monitor and maintain database information to ensure database accuracy and integrity.
Create and manage event registration forms for conferences and programs.
Provide front-line customer service on all database and event registration related inquiries.
Prepare regular reports on membership/subscribership, event registration, donations, and other related data sets within the database.
Develop resources for members/subscribers to navigate database and event registration forms.
Support organizational data analytic initiatives.
Manage the AFLV Career Center.
On-Site Event Registration Support
Manage the on-site registration/check-in process for conferences, including but not limited to:
Pre-Event: Nametag printing, Supplies orders, etc.
On-Site: Check-in protocol and procedure, Volunteer Training, Front-line customer service, payments, invoice changes, and refunds, etc.
Support additional on-site conference execution efforts, as needed.
Prepare regular transaction reports/uploads for all database financial transactions.
Work in conjunction with Chief Financial Officer (CFO) to:
Manage all incoming financial mail.
Record and process organizational payments.
Follow-up on outstanding Accounts Receivable (AR)
Prepare Accounts Payable (AP)
Manage online store items (inventory and orders).
Must be able to move about the office as well as sit for long periods of time.
Must be able to use the phone and computer, sometimes for prolonged periods.
Must be able to work prolonged days during on-site conference work; early mornings through late evenings.
Must be comfortable with semi-regular travel.
Light to heavy lifting is periodically required.
Must have a valid driver’s license.
Reporting Relationship: This position will report to the following individuals in the functional areas of general administration, database, event registration management and on-event registration support in each organization:
AFA: Lynda Wiley, Executive Director, initially. The supervision will transition to a TBD Director of Education; This person will ultimately be based in Indianapolis, IN.
AFLV: Mark Gehrke, Assistant Executive Director. Mark is based in Fort Collins, CO.
Additional direction on accounting matters will be provided by:
CFE: Michael Wilson, Chief Financial Officer. Michael is based in Indianapolis, IN.
Location: There is a strong preference for this position to be based in Indianapolis, IN, specifically based on the outlined job responsibilities.
