The Property Casualty Insurers Association of America (PCI) invites qualified candidates to apply for the position of Meeting Planner in our Chicago office located in the O'Hare corridor and easily accessible by public transportation.
The incumbent will lead the meeting planning, logistics and financial management of simultaneous PCI events. Key competencies include strict budget management, registration and attendee tracking, maintaining housing and rooming lists, audio visual selection/management, directly responsible for full menu planning and hotel negotiations for meetings. This position works closely with meeting program managers, accounting, marketing and other key PCI staff.
Additional responsibilities include:
Responsibility for RFP process and site selection of hotels, restaurant and vendors
Manages complex meeting requirements
Leads sponsorship coordination for events including management for all sponsor requirements
Negotiates contracts and sponsor packages
Responsible for exhibitor sales, management, and onsite execution of exhibit hall for PCI Annual Meeting
Primarily responsible for managing PCI meetings social media outlets including Twitter, LinkedIn and integrating social media with PCI’s online registration system. Provides direction to PCI Public Affairs division on promotion of PCI meetings and events on social media.
Works with Legal division to maintain and execute contracts in a timely fashion
Creates all PowerPoint slide decks for meetings
Minimum of 5 years’ experience in meeting planning is required along with a college degree. CMP preferred. Willingness and availability for a dynamic work schedule, including weekends is required. Extensive travel is required. Must have a collaborative work style and strong work ethic. Solid attention to detail along with strong communication skills and excellent organizational skills are needed. Must be agile and be able to effectively manage multiple conflicting priorities and tasks while maintaining a positive attitude. Incumbent will need to have a high level of experience with Windows XP, Outlook, WORD, PowerPoint and Excel.
