The Publications Production Coordinator (PPC) coordinates all aspects of the design, printing and mailing of ASCRS-ASOA publications. The PPC is responsible for quality and excellence, adherence to production schedules and cost control for assigned publications. The PPC is responsible for working closely with other content contributors. Publications produced range from reports and fliers to campaign and meeting support materials.
Job Duties and Responsibilities
Oversees all aspects of production for multiple publications, copy writing, copy editing, fact checking and quality assurance stages; uses desktop publishing or other publication-specific software tools to make body copy revisions.
Ensures all publications adhere to AP Stylebook and the ASCRS Brand Standards Guide.
Organizes copy flow, creates and coordinates multiple production schedules and printing deadlines; troubleshoots and remedies related issues.
Develops, implements and maintains a project tracking system. Maintains version control of files.
Serves as liaison to contributors/faculty/authors and staff directly involved in the published work: proactively solicits body copy, edits submissions, conveys editorial comments, resolves issues, and ensures deadlines are met.
Develops specifications for all print jobs and secures bids from qualified vendors. Coordinates a system of competitive bidding to maintain cost-effectiveness and quality standards in accordance with ASCRS standards, as well as adherence to schedule.
Checks all bluelines and other proofs and facilitates the review of proofs internally.
Ensures permissions standards for content and image are consistent and documented. Coordinates post production activities, such as mailing, mail house arrangements, coordinating copyright registration, and permissions activities.
Learns and uses content management systems for email and mobile platforms.
Other duties as assigned.
Experience, Knowledge, and Skill Requirements
Experience in fast paced, publications production environment.
Experience in writing, editing and crafting content.
Some experience in medical, biomedical, biotechnical, or related field.
Excellent communication skills, both verbal and written, a results-driven approach and the ability to work independently.
Strong collaborative skills and the ability to get many people working toward a common goal.
Demonstrated ability to set and manage priorities, resources, goals and project initiatives to meet deadlines.
Highly organized and self-motivated; able to manage multiple tasks while functioning effectively as a team member under pressure.
Must have a high attention to detail and be flexible in a changing environment.
Intermediate to advanced experience in Microsoft Office, Adobe InDesign and other desktop publishing tools is required.
Ability to represent the organization in a professional manner at all times.
Experience working at a medical association preferred.
Education and Training Requirements
Bachelor of English, Communications, Journalism, Marketing or similar field is preferred.
Minimum of 3 years of experience in the field of expertise.
