We are currently seeking a Governance & Executive Manager to serve a key role in making the elected leadership experience a positive one at ACA and to ensure a high-functioning executive office with top notch and proactive support to the COO. The Manager is responsible for supporting ACA’s governing body and its activities, including the Governing Council, Executive Committee, and elected officers. The Manager assists the Governing Council and Officers in working together to advance ACA’s strategic plan and is responsible for the development and implementation of strategies and systems to establish good governance across the organization. The Manager provides executive assistance to the COO to help ACA make progress on organizational initiatives.
Using experience in governance and volunteer management, the Manager, in collaboration with the COO and CEO develops an overall strategy and manages initiatives to strengthen the governance model and leadership skills at ACA.
In addition to the below list of responsibilities, the Manager will carry out assigned tasks that are consistent with the general responsibilities of this position.
Partner with the CEO and COO to implement and continually advance ACA’s governance model in support of the mission and vision.
Work with COO on designing systems and strategies to achieve the governance and leadership goals and objectives as specific in the strategic plan.
Create and help develop plans that form a leadership pipeline for ACA leaders, including formation of committees and task forces, to assure alignment with strategic plan, work plan, and governance model.
Partner with the CEO, and COO, and President to prepare for effective Governing Council, Executive Committee, and other governance meetings as assigned.
Serve as staff liaison to Bylaws and Nominations & Elections committees and other committees and/or task forces as assigned.
Research and recommend ideas for continued development of ACA leaders and work with Volunteer and Community Manager on incorporating initiatives in that area.
Oversee the development of training and development opportunities for elected leaders, including orientation for Governing Council and Officers and Leadership Handbook.
Oversee and directly supervise the creation of Governing Council, Executive Committee, and other meeting agenda materials and presentations.
Deliver on tactical execution of assigned governance meeting materials and other logistics, including calendar management, scheduling meetings/calls, preparation of advance materials, travel arrangements, composing minutes and correspondence, expense report processing, and completing follow-up actions.
Work with staff team on developing competencies to create meaningful and relevant agendas, background material, and presentations.
Assist with developing systems and strategies to achieve the governance and elected leadership goals and objectives specified in the ACA strategic plan.
Ensure compliance with ACA bylaws, including regular review of current practice and law.
Lead the nominations and elections process overseeing for the Governing Council, Officers, and Divisions to deliver fair and transparent elections partnering with IT and vendor(s) to ensure accurate data input, results, and data output.
Manage nominations and appointments for Governing Council (treasurer, parliamentarian, and process observer).
Assist with governance-related events at the Annual Conference and other events as needed.
Partner with the Brand and Engagement Group to communicate outcomes and key messages from the Governing Council and Executive Committee and related committees/task forces.
Partner with the Brand and Engagement Group to obtain data on members and stakeholders necessary to identify and track talent.
Assist with formation of committees and task forces, to assure alignment with strategic plan, work plan and governance model.
Executive Office Coordination
Provide top-notch, high-level, and proactive administrative support and coordination to the COO and organizational initiatives including calendar management, drafting correspondence, making travel arrangements, preparing expense reports, drafting reports, presentations, and background materials for the COO.
Compiles and maintains reports on strategic plan and road map progress and CEO dashboard, and prepares related internal communications.
Manage requests, logistics, and travel arrangements for elected leaders, CEO, and COO to attend ACA and external events, including ACA Annual Conference.
Prepare, produce, and distribute background and briefing materials and itineraries related to COO’s meetings, presentations, conferences, and travel.
Provides guidance and support to ACA Foundation as needed.
Develop and manage assigned budget areas, including reviewing/approving invoices, tracking expenditures, and submitting reports.
Identify, engage, and oversee relationships with external consultants as needed.
Create and monitor budgets to ensure that revenue and expenses are kept within established boundaries.
Review financial information for accuracy, such as invoices for services and materials, hotels, subcontractors, etc. and code for accounting.
Acts as a project manager as requested.
The ideal candidate will possess:
Bachelor’s degree and minimum of 5-7 years of experience, ideally in an association environment with supervisory and/or project management experience preferred.
Experience working with volunteer boards and governance processes, including experience in preparing agendas, motions, minutes, and maintaining official organization records.
Demonstrated ability to think strategically.
Must be able to partner effectively with the CEO, COO and volunteer leadership to identify and frame issues of importance to ACA and ensure compliance with bylaws and best practices.
Outstanding interpersonal and diplomatic skills and a high-energy approach to staff and volunteer management.
Excellent written and oral communications skills, including presentation skills. Must be able to communicate and represent information for executive level consideration both internally and externally.
Strong organizational and computer skills (MS Office Suite) and great attention to detail.
Proven ability to develop systems and processes.
Must be capable of effective collaboration with different personalities from diverse cultures at various levels within and outside of the organization.
Proven ability to organize and prioritize multiple complex projects and tasks.
Experience leading and participating in projects to accomplish goals.
Strong analytical and quantitative skills.
Experience managing budgets and goals.
Must be able to perform responsibilities with composure under the stress of deadlines.
Must be capable of exercising highest level of discretion on both internal and external confidential matters.
