This position serves principally the growing education and membership departments for a statewide trade association, supporting a wide variety of fast-paced programs and services. In addition, this position supports educational programs and events from development to completion, helps to build and maintain relationships with members, partners, and the community, and provides general administrative support to the education and membership teams, as well as to the overall association staff. This position provides key support in the form of organization, attention to detail, and efficiency. The position is full-time, on-site. Minimal travel may be required.
Responsibilities include, but are not limited to: • Assist Education Director with the development of the education calendar, including updating and maintaining master spreadsheet, obtaining necessary information from instructors, adding classes and webinars to staff calendar to reserve classroom space, etc. • Set-up of on-site classes including minimal AV set-up, arrangement of course books and instructor materials, and greeting class participants at the start of the course. • Set-up of courses offered via webinar, including scheduling courses within webinar platform, loading course presentations into webinar platform, and basic monitoring of webinar on day of course. • Assist with maintenance of membership database including new member and/or prospect data entry, and updating and maintaining existing files. • Assist with the membership renewal process including preparation and mailing of renewals and installment billings, collection of dues, and follow-up as needed. • Primary responsibility for registration process for select association events, including creation of event within database, receipt and processing of registrations, sending of registration invoices, recording of registration payments, and follow-up as needed. • Assist with correspondence with partners, tracking of sponsorship commitments, sending of sponsorship/exhibitor invoices, securing needed items, recording payments, and follow-up as needed. • Attend select association events as needed to assist with onsite logistics. • Communicate with members, prospects, and others by a variety of methods including email, phone, in-person, preparing and sending printed materials. • Assist with efforts to promote products, services, and other association offerings whether by phone, email or other communication vehicles. • Serve as primary back-up to Director of First Impressions – answering phones, sorting/distributing mail, processing criminal background checks, creation of phone schedule, etc. • Inventory basic education supplies and make regular trips to Costco and other stores to replenish when needed.
Required qualifications: • Demonstration of training and/or experience that demonstrates the candidate’s professionalism and applicable knowledge, skills, and abilities for the position; • Strong written communications skills and an ability to communicate appropriately with a variety of audiences; • Strong Computer skills, including proficiency in Microsoft Office and other programs, as well as the ability to learn and adapt to new programs; • Ability to perform well under pressure, prioritize, and consistently meet deadlines; • Ability to communicate and work well within a team environment; • Ability to take initiative and work well with a high degree of autonomy; • Attention to detail with a high degree of accuracy; • Exceptional organizational skills; • Ability to provide exceptional customer service to people from a variety of backgrounds
