As part of the Technology Solutions team, the Business Systems Analyst/Project Manager works across the organization to understand the business’ needs related to information technology and uses knowledge of the organization, its technology infrastructure and specific software applications to help the business address changes through technology. This position manages enhancements to NAFSA’s current software applications, implementation of new technology initiatives, and actively supports internal and external end users of NAFSA’s software applications. In addition, this role analyzes and documents business and system requirements, supports technology procurement and applies proven communication, analytical, problem-solving and project management skills to help maximize the benefit of IT system investments at NAFSA.
NAFSA’s technology team executes an annual portfolio of projects and supports existing technologies adopted by specific business units. The Business Systems Analyst/Project Manager will manage a selection of technology projects throughout the year, oversee maintenance and enhancements to existing systems, and actively support software application issues via the service desk. Specific functions include:
Strategy & Planning:
Meet with decision makers, systems owners, and end users to define business, financial, and operations requirements and systems goals, and identify and resolve systems issues.
Lead sessions to review and revise systems functionality to best meet NAFSA’s specific business requirements. Review and analyze the effectiveness and efficiency of the systems and develop strategies for improving or further leveraging these systems.
Plan, execute, and finalize projects according to strict deadlines and within budget.
Acquisition & Deployment:
Conduct research on software and hardware products to justify recommendations and to support purchasing efforts.
Conduct and support product procurement processes
Manage contract and service level agreement review meetings to ensure delivery against objectives and contract budgets. Develop regular reports on contract milestones, execution, and risk, and inform internal customers, vendors, and management of activities and progress through regular written and verbal communication.
Lead the systems setup for a wide variety of software applications and SaaS products. Make modifications to process workflows, optimize user experience and backend data capture protocols in iMIS AMS, prepare and deliver reports, recommendations, or alternatives that address existing and potential trouble areas in operating systems across the organization.
Perform cost-benefit and return on investment analyses as a precursor to the period vendor contract renewal cycle. Create systems models, specifications, diagrams, and charts to provide direction to vendors and system programmers.
Develop and maintain current documentation on all supported systems to support knowledge-transfer across the team and the organization.
Ensure compatibility and interoperability of SaaS, hosted and in-house computing systems.
Coordinate and perform in-depth tests, including end-user reviews, for modified and new systems, and post-implementation support; Ensure smooth transition to standard operations.
Provide orientation and training to end users for all modified and new systems; Provide guidance and/or instruction to team members
Cross-train technology team members in support of NAFSA’s technology environment.
Actively support a portfolio of systems by fielding incoming service desk tickets from end users to resolve application and software issues within servers, databases, and other mission-critical systems.
The Business Systems Analyst/Project Manager serves as the primary interface between NAFSA staff and technology vendors for NAFSA’s technology systems.
Convey NAFSA’s strategic and operational needs to the vendors and translate those needs into appropriate scopes of work, timelines, work plans, and budgets.
Serve as the primary interface between NAFSA staff and vendors on problem identification and resolution.
Monitor contract spending against annual allocated budgets.
Monitor and manage service level agreements
Scope of Supervision:
The Business Systems Analyst/Project Manager has no internal direct reports but will provide oversight of project teams during the project management lifecycle for projects in their portfolio. Project teams may include internal and external stakeholders and multiple vendors. The position may supervise projects assigned to interns and temporary help.
The Business Systems Analyst/Project Manager function is cross-organizational and involves a high level of translation of strategy into detailed tactical implementation. As such, the position works closely with many departments that depend on technology in order to effectively deliver their respective work plans. The Business Systems Analyst/Project Manager must be able to multi-task, self-prioritize, work independently and interact with a large number of internal and external clients and stakeholders. The position will actively collaborate with, support and cross-train Technology Solutions team members.

Proven experience eliciting, documenting and communicating business requirements and translating them to system design and configuration in line with the organization’s goals and objectives.
Proven experience in overseeing the design, configuration and implementation of software solutions, systems and products such as such as Content Management, Association Management, Customer Resource Management and SaaS applications.
Ability to conduct research into systems issues and products and resolve technical issues using excellent analytical, mathematical, and creative problem-solving skills
Strong understanding of technology infrastructure and how it interconnects, including sharing data to achieve a business goal, with proven experience in the operation of data-driven software systems.
Demonstrated project management skills; Agile methodology a plus.
Experience with vendor management, including negotiating and managing contract life cycles, with an emphasis on technology or IT service agreements.
Working technical knowledge of HTML, SQL or other Web or data programming languages a plus
International educational experience, prior non-profit or association experience are a plus.
BA or BS and 5+ years related work experience; Project management training a plus.
Workday is generally 9:00 am-5:00 pm. Between Memorial Day and Labor Day, it is 8:30 am-5:30 pm Monday through Thursday and 9:00 am-12:00 pm on Friday.
Participation in the NAFSA annual conference the week of Memorial Day, including the holiday itself, is a job requirement. The annual conference is held in varying cities in the U.S.
