Under the general supervision of the director of finance, the accounting associate performs general accounting duties to include general ledger entry, accounts payable, accounts receivable, reconciliation of investments and administration of accounting functions.
Processes credit card and check batches for accounts receivable; maintains check register.
Determines taxability and non-taxability of purchased items.
Prepares sales and use tax report in compliance with state guidelines.
Maintains documentation for prepaid expenses.
Reconciles and maintains Roadway Safety Advancement Fund information, including contributions and expenses.
Reconciles general ledger accounts as needed.
Processes A/P, receives and maintains approved and processed purchase requests; reviews A/P for accuracy, provisions, approval, and payment method; codes with vendor and verifies general ledger accounting codes. Processes payments, including refunds.
Receives and processes employee expense reports, verifying general ledger accounting codes and approval. Tracks travel advances, notifying employees of amounts due.
Responsible for petty cash.
Compiles receipts, verifies accuracy and approval, and pays corporate credit cards in a timely manner.
Processes payments for ATSSA’s PAC and other entities as needed.
Processes Foundation donor acknowledgement letters.
Coordinates employee wellness and culture programs as directed by director of human resources and operations; assists with the tracking of stay interviews, exit interviews, surveys, presentations and performance management meetings; serves as a point of contact with vendors for coordination of programs.
Processes requests for certificates of insurance from departments.
Responsible for accounts receivable function.
Coordinates with the operations associate in processing aged receivable reports, monthly statements and collections efforts; is responsible for accuracy and completeness of collections actions. Serves as main contact with collection agency.
Creates, reconciles, and posts daily cash receipt batches.
Prepares daily bank deposit.
Prepares and mails 1099 forms in compliance with IRS guidelines.
Responsible for collection and maintenance of W-9s.
Answers accounting department inquiries.
Assists with the maintenance of HR and operations documents as needed.
Projects assigned as needed.
Education & Experience – A bachelor’s degree in accounting and a minimum of four years of relevant experience; experience working with GAAP; experience in accounting and bookkeeping.
Skills and Knowledge – Well organized; strong oral, written, and interpersonal communication skills; proven ability to produce high quality work; ability to bring projects to completion within the schedule provided and work around problems; flexibility and ability to adapt to change quickly; computer literate; knowledgeable of GAAP, knowledge of financial reporting systems and databases; ability to lift up to 30 pounds.
