GHLA is seeking a highly detailed professional to handle every aspect of bookkeeping and maintaining member records. GHLA seeks an individual with the ability to multi-task, is self-directed, has excellent analytical skills, and pays very close attention to details.
Listed below are the essential responsibilities of this position. This listing is not intended to be all-inclusive and is also subject to change based on GHLA’s needs.
Prepares and processes all bank deposits for GHLA and the related hotel councils (4) and record in membership database (WebLink) and financial system (QuickBooks).
Process all credit card transactions; record in WebLink and QuickBooks. Monitor credit card payments made on behalf of Councils. These funds must be transferred to appropriate hotel council bank accounts each month.
Generate and mail monthly, quarterly, and annual dues invoices from WebLink and records in QuickBooks.
Generate and mail sponsorship and vendor invoices as directed.
Maintain all supporting documents for receivables and file appropriately for year-end audit.
Monitor past due invoices for collection and perform the collections process.
Process all incoming bills and prepare checks based on appropriate bank accounts.
Maintain all supporting documents for payables and file appropriately for year-end audit.
Produce monthly financial statements including the GHLA balance sheet, the GHLA profit/loss statement and the statements for each hotel council.
Work with the Executive Director to update the forecast Excel document monthly and produce as part of the financial statements.
Ensure that ALL general ledger accounts are reconciled and in balance each month prior to the production of the financial statements.
Prepare & record General Ledger journal entries. Ensure that supporting documents are included and filed appropriately for year-end audit.
Process payroll for direct deposit on the 15th and 30th of each month. Make changes as requested by employees and direct depositors. Prepare journal entries for input into QuickBooks.
Manage payroll, the Simple IRA retirement plan, annual insurance renewals and other renewals or benefits in conjunction with the Executive Director.
Assist the Executive Director with the preparation of GHLA’s annual budget.
Annually prepare the 1099s for individuals/organizations that have been paid out of the accounts payable system. File the 1096. The hotel Councils are filed as part of GHLA.
Annually prepare all audit schedules and reports requested by the audit firm. This is a very extensive activity and must be worked in with normal accounting functions.
Develop policies to ensure that financial information is secure and stored in proper compliance with applicable accounting standards.
Develop and maintain an accounting policy and procedures manual.
Database Management & Meetings Management
Maintain and update membership records in the Association management database (WebLink).
Monitor changes in member personnel and make appropriate changes in WebLink.
Maintain and update Council memberships. Update hotel council committees. (WebLink)
Execute delivery of monthly council meetings email communications through WebLink.
Assist with the selection of Council meeting dates, locations and agendas.
Attend monthly council meetings when needed.
Update information for GHLA meetings in Weblink and produce supporting documents. GHLA conducts 4 major events each year in addition to 30+ Council meetings and Georgia Women in Lodging meetings (additional events may be scheduled). Meeting responsibilities include: serving as point person for phone-in reservations; managing online registration system; managing registration changes; invoicing and payments regarding registration; invoicing and payments for related sponsorships; sending out confirmation emails for registrations and arrival notices; preparing all meeting-related financial documents for entry in Quickbooks; production of attendee name badges; production of registration reports needed to manage meetings onsite; Provide regular updates to GHLA staff regarding current registration numbers, revenue and attendee listings as requested.
Manage onsite registration for all major meetings including: name badge dissemination; check-in procedures; training of volunteers for the event; and other activities as required.
Note: Major GHLA events (4) may require additional hours of preparation on evenings and weekends.
The Qualified Candidates will:
Bachelor’s degree in Accounting preferred.
Have a minimum of 3 to 5 years of related work experience.
Have strong knowledge of Accounting principles including GAAP.
Detail oriented with the need for minimal supervision.
Ability to work under pressure, multi-task and meet deadlines.
Strong interpersonal skills and willingness to work closely with GHLA members.
Strong knowledge of computerized accounting software (preferably QuickBooks).
Excellent skills in Microsoft Excel and Word.
Experience with a membership database.
Excellent communication skills and knowledge of web-based communications.
Be able to work occasional evenings and weekends to support association activities.
Must pass security background and drug testing.
Telecommuting is allowed.
Additional Salary Information: Compensation, Time, and Classification • This position is full-time. • 40 hours per week • Compensation based on qualifications and experience. • This is an exempt position. • Please submit salary range.
