ACPM is accepting applications for a program assistant. This position provides an excellent opportunity to learn the professional association environment and utilize and develop invaluable office skills, or for an administrator looking for a great work environment. The successful candidate will help with administrative and technical tasks for the membership department and development department.
The ideal candidate will be highly organized, industrious, energetic, and flexible, while being attentive to detail, open to learning technical skills, and possessing the ability to manage multiple tasks.
The position will be responsible for the following tasks, including but not limited to:
Process new member applications (online and print).
Handle membership inquires via online methods and phone calls.
Assist in production and mailing of annual ACPM membership retention notices.
Maintain accurate member data profiles in ACPM’s association management software.
Code and submit membership invoices to accounts payable.
Data mine websites and other sources to develop prospect member lists and update current member records.
Prepare and send formatted monthly membership list to the publisher of ACPM’s journal (for mailings).
Support Special Interest Groups
Process donations and prepare and mail donor acknowledgement letter within 48 hours of receipt.
Maintain and update donor files, i.e., pledges, correspondence, etc.
Support all aspects of Corporate Roundtable (CR), including stewardship and recruitment of new members.
Maintain Corporate Roundtable Member files
Contact current CR members monthly
Maintain recruitment program for new CR members
Coordinate conference calls between potential CR Members/Donors with various ACPM Staff
Create monthly fundraising and other reports as needed.
Update website with current donor information on quarterly basis.
Coordinate communications, including monthly eblasts
Organize biannual CR meetings
Update and keep current all recruitment tools for donors and CR.
Management of Annual Fund plan
Staff Liaison for Fundraising Calls
The successful candidate will have strong time management and organizational skills; an ease with learning new technologies and systems; and a customer service mindset with solid phone skills. Proven competency in Microsoft Office Suite, with an emphasis on Excel required. Knowledge of membership management databases, such as Your Membership, highly preferred. Minimum requirements include a bachelor’s degree with two to three years’ experience in an office environment, or an associate’s degree with four to five years’ experience. Sales/fundraising experience preferred, but not required. Writing samples and competency testing on Excel may be required.
