We seek a successful candidate who is someone that excels in customer service, uses good judgment, takes initiative, attends to detail, works independently to meet established timelines, has a positive attitude and is a valuable contributor to the entire service delivery team. This position is primarily responsible for supporting three associations: responding to member inquiries in a timely and effective manner, managing and reporting membership data, managing the membership renewal process, providing event and meeting support, and conducting administrative duties essential for effective operation. Attendance and reliability are essential in this position. This is a position that involves thinking on your feet and juggling multiple tasks. Attention to detail is a must.
Organization Overview We are a collaborative, team-based organization with ten employees and a history that dates back more than 20 years. Our focus is empowering not for profit organizations and Associations through shared business solutions that leverage their resources to the highest capacity possible.
Membership • Answer association phone lines between 8:30 a.m. – 5:00 p.m. Monday-Friday, and provide backup support for corporate phone line. • Field member inquiries received via phone or email; provide assistance or forward as appropriate within one business day • Maintain accurate FAQ's for member inquiries for each client, reviewed annually and as needed • Update and maintain accurate membership records in client databases and perform regular database cleanup processes to ensure data integrity • Generate monthly membership reports • Prepare and distribute new member materials • Work with clients to update membership materials annually and as needed • Support the membership renewal process, issuing notices, processing renewals • Support education and certification, sending out materials, tracking member certifications in client databases, and reporting to committee chairs
Events • Registration tracking and reporting • Assist with preparation and follow up for events, such as generating name badges, stuffing packets, mailing out certificates • Provide onsite event and registration support; some travel required and may include evening and weekend events • Coordination of some monthly client events
Administrative • Staff monthly committee meetings, working with the chair to send out the agenda, take minutes, and distribute minutes, track attendance, order food for meetings, and other duties as needed • Maintain current documentation of relevant processes in each client's organizational manual • Miscellaneous administrative duties/project as assigned by the Association Executive. Examples include conducting inventory and processing payment requests. • Fulfill orders for mailings
Financial • Receive checks and other payments • Work on client A/R and A/P. as needed • Work with finance team to ensure all client's financials are accurate and timely • Follow client and company financial policies and procedures
Other • Perform other duties as assigned
Working Conditions • Insured, personal transportation for reimbursed business use required • Willingness to work evenings and weekends to ensure client deliverables are met • Some lifting of boxes 25-40 pounds or less • Bending, sitting, standing are a daily part of this position • Frequent phone and computer use
Position Qualifications • Two to four-year degree; completion of a four-year degree preferred • Strong written and oral communication skills • Excellent customer service, project management and interpersonal skills • Working knowledge of databases particularly CiviCRM, Microsoft Dynamics and/or Your Membership; hands-on experience preferred • Proficient with computers and various software applications, particularly Microsoft Office Suite; Microsoft Sharepoint experience a plus • Knowledge of Generally Accepted Accounting Principles (GAAP) and online banking • Strong organizational skills and attention to detail • Excellent team player • Ability to multi-task and prioritize projects with tight deadlines • Initiative, creativity, and interest in researching and developing new skills
